Operations Coordinator
ICONMA is seeking an Operations Coordinator to serve as a force multiplier across our communications, business development, and operational functions. The ideal candidate brings a background in staffing or recruiting, thrives wearing multiple hats, and actively leverages AI tools, to work smarter, move faster, and deliver higher-quality output every day. This is a role for someone who is highly adaptable, eager to learn new systems, and energized by variety.
You will support content and communication while also rolling up your sleeves on sales support, operational analysis, VMS/BI tools, all within a fast-moving staffing environment.
- Manage and execute the monthly Social Media Content Calendar across Linked In, Instagram, and other active channels.
- Design and publish weekly Hot Jobs graphics, holiday campaigns, and employee recognition content.
- Draft monthly blog posts covering workforce insights, company culture, and industry trends.
- Curate and produce the monthly corporate newsletter, sourcing content from employee submissions, sales highlights, conference recaps, and company events.
- Produce branded assets including presentation decks, internal graphics, and digital materials.
- Maintain consistent brand voice and messaging quality across all internal and external touchpoints.
- Create anniversary certificates, award recognition materials, and culture-focused visuals.
- Design internal assets such as digital backgrounds, announcement graphics, and event materials.
- Prepare swag, and material for events, including conferences, career fairs, and client drop offs.
- Actively integrate AI tools into daily workflows to accelerate content creation, research, drafting, and data summarization.
- Use AI-assisted tools to streamline repetitive tasks such as email templates, report summaries, and first-draft copy.
- Help identify and implement new AI-driven efficiencies across the team as tools and capabilities evolve.
- Pull and analyze reports from various BI tools.
- Assist with recruiting operational workflows including data entry, process documentation, and internal coordination.
- Work within Vendor Management Systems (VMS) to support recruiting division.
- Support ad hoc projects and initiatives assigned by leadership.
- Support lead generation efforts for Business Development Managers, including prospect research, list building, and outreach content.
- Coordinate and schedule client meetings, discovery calls, and follow-ups on behalf of BDMs.
- Assist in preparing sales decks, capability statements, and client-facing collateral.
- 3+ years of experience in staffing, recruiting, talent acquisition, or a related industry, strongly preferred.
- Must live within 20 miles of Troy, MI.
- Demonstrated experience using AI tools (Claude, ChatGPT, Copilot, or similar) in a professional workflow.
- Experience using Canva in a professional workflow.
- Comfortable working across multiple functions and adapting to shifting priorities with a positive, can-do attitude.
- Strong writing, editing, and communication skills with a sharp eye for brand consistency.
- Familiarity with VMS platforms (Beeline, Fieldglass, Coupa, etc.) and/or BI/reporting tools (Power BI, Tableau, or similar) a strong plus.
- Experience with social media management platforms (Hootsuite, Buffer, Sprout Social, or similar).
- Proficiency in Microsoft Office Suite, especially PowerPoint;
Adobe Creative Suite experience a plus. - CRM experience (Salesforce, Hub Spot, or similar) for sales support tasks.
- Knowledge of SEO fundamentals and email engagement best practices beneficial.
- Highly organized, self-directed, and capable of managing competing deadlines without sacrificing quality.
- Show up curious, always looking for a smarter, faster way to accomplish tasks using available tools and technology.
- Build trust quickly by being reliable, proactive, and easy to collaborate with across departments.
- Grow into new responsibilities over time, including deeper involvement in operations related tasks.
- Bachelor's degree in business or a related field preferred. Equivalent professional experience in staffing, operations, or a related field will be considered.
