SummaryStore Operations Administrative Support plays a critical role in aligning day-to-day store operations with overall company objectives. This position is responsible for collecting, analyzing, and reporting key operational data while ensuring the accuracy and effectiveness of essential administrative tools such as Vroom/ Door Dash, Zenput, Smart Sense, and Labor Forecaster.
Working closely with the Director of Operations, District Lead, District Managers, and cross-functional teams, this role supports operational execution through strong organization, data management, and communication, ultimately driving consistency and efficiency across all locations.

Key Responsibilities Data Management & Reporting
- Develop, maintain, and enhance reporting tools to gather and analyze operational data
- Prepare weekly, monthly, quarterly, and annual reports
- Analyze trends and provide insights to support operational decision-making
- Maintain accuracy and integrity of key data systems
- Provide administrative support to the Director of Operations, District Lead, and District Managers
- Assist in organizing meetings, including agenda preparation and note-taking and any follow-up.
- Manage and maintain security alarm company information
- Manage and maintain store audit scheduling
- Receive and communicate Labor Forecaster report weekly & monthly
- Complete administrative tasks and special projects assigned
- Create and communicate the operations weekly update
- Coordinate Department of Agriculture and regulatory health inspections
- Schedule required health inspections (e.g., slices and subs programs)
- Serve as a liaison for Subway operations and communications
- Distribute weekly Subway updates (technology, operations, equipment, etc.)
- Support Subway labor forecaster communication and updates
- Maintain Subway SharePoint resources
- Complete monthly sales reporting and annual program updates
- Complete seasonal sales and determine "Summer" & "Winter" restaurant hours.
- Join all Subway meetings online. (Webinars, IPC, Sysco, etc.) In-person meetings when appropriate.
- Support additional Subway-related initiatives as needed
- Create and communicate the weekly Subway update
- Administer the Zenput platform, including user and location hierarchy management
- Create, edit, and maintain forms, tasks, and reporting structures
- Generate and distribute reporting (QPPAS, Strive Walks, Subway Strive Walks, Brand Walks, Fresh Walks, PM Power Walks, Manager Walks, etc.)
- Partner with Zenput support and Customer Success Manager as needed
- Track and communicate Fresh Walk, Manager Walk, PM Power Walk, Donut Waste completion with District Managers & stores on a weekly basis.
- Track and communicate the weekly Project Completion report.
- Maintain annual, monthly, and weekly reporting updates
- Maintain and update Vroom platform, including store hours, menus, and product listings
- Manage new store setup and emergency shutdown processes
- Ensure accuracy of digital catalog (images, pricing, UPCs, descriptions, modifiers)
- Coordinate promotional uploads and seasonal programs
- Prepare Vroom-related reporting (sales, cancellations, etc.)
- Support customer reviews, credits, and driver management updates
- Collaborate with Price Book, Graphics, and Digital teams
- Assist in training materials and process documentation
- Provide support for internal and external initiatives, including contests and special projects
- Maintain and update any initiatives with Vroom & Door Dash
- Create/communicate the Vroom/Door Dash weekly update
- Create and communicate the bi-monthly SMO PP for Vroom updates
Required Qualifications
- Associate degree in Business, Accounting, Sales, or a related field (or equivalent experience)
- Strong computer proficiency, including Microsoft Excel, Word, and Power Point
- Ability to work independently with strong time management and organizational skills
- Excellent verbal and written communication skills
- Strong attention to detail with the ability to manage multiple priorities
- Ability to analyze financial and operational reports (e.g., P&L statements, sales data)

- Professional demeanor with the ability to collaborate across departments
- Valid driver's license
- Experience in retail, convenience store, or food service operations
- Accounting experience
- Experience with operational systems such as Zenput, Vroom, or similar platforms
