Job Overview

We are seeking an experienced and highly organized Dental Office Manager to oversee the daily operations of our dental practice. The ideal candidate will possess strong leadership skills, extensive knowledge of medical and dental office management, and proficiency with electronic medical record (EMR) systems such as Dentrix. This role involves managing staff, ensuring compliance with healthcare regulations like HIPAA, and maintaining efficient practice workflows to deliver exceptional patient care.

The Dental Office Manager will serve as the key point of contact for administrative functions, financial management, and clinical support within the practice.

Responsibilities
  • Supervise and coordinate daily office operations, including scheduling, patient flow, and staff management
  • Oversee fiscal management activities such as budgeting, billing, coding, and financial reporting
  • Ensure compliance with healthcare regulations including HIPAA, JCAHO standards, and OSHA requirements
  • Manage human resources functions including hiring, training, performance evaluations, and staff development
  • Maintain accurate medical records and manage documentation using EMR/EHR systems (Dentrix)
  • Oversee medical administrative support functions including appointment scheduling, patient check-in/out, and insurance processing
  • Collaborate with clinical staff to ensure smooth clinic operations and high-quality patient care
  • Monitor practice performance metrics and implement process improvements for efficiency
  • Handle patient complaints or concerns professionally to uphold the practice’s reputation
  • Ensure all office equipment is maintained and operational
Key Qualifications & Attributes
  • High emotional intelligence, with the ability to assess team dynamics, understand individual motivations, and navigate sensitive situations with composure and discretion
  • Strong boundary-setting skills, prioritizing respect and professionalism while maintaining a positive and respectful work environment
  • Effective conflict resolution, capable of de-escalating situations and addressing issues objectively without taking sides
  • Consistent policy enforcement, applying procedures and expectations fairly and uniformly across the team
  • Decisive and confident under pressure, with clear role definition and accountability standards
  • Strong understanding of key performance indicators (KPIs), including collections, overhead, hygiene production, and doctor production, with the ability to identify drivers and implement improvement strategies
  • Systems-oriented mindset, focused on optimizing workflows and reducing operational inefficiencies rather than reacting to issues
  • Demonstrated ability to manage growth and minimize operational disruption while maintaining stability
  • Culture-driven leadership, actively fostering a professional, supportive, and accountable workplace
  • Proactive communication and coaching, including regular team meetings, one-on-one coaching, and constructive feedback
  • Low tolerance for negative behaviors, ensuring a positive and productive team environment
  • Strong partnership with clinical leadership, including effective communication with doctors and clinical teams
  • Problem-solving mindset, with the ability to quickly identify issues and implement practical solutions
Preferred Experience
  • Experience managing dental offices with $5M+ annual production
  • Prior exposure to coaching conversations, performance reviews, and terminations
  • Formal leadership or coaching training is preferred
Schedule
  • Full Time
  • Monday - Friday
  • 2/Saturdays a month
