Position SummaryThe Legal Operations Specialist provides comprehensive operational, administrative, and process support to the in-house legal team. The position owns the day-to-day administration of the department's matter management, entity management, service-of-process, and e-billing systems; coordinates outside counsel invoicing and legal spend reporting; and maintains the department's vendor relationships, subscriptions, and records. The position routinely handles highly confidential and attorney-client privileged information requiring the highest degree of discretion.
The role works under the direction and supervision of licensed attorneys and does not provide legal advice.
The following is a non-exhaustive list of essential functions of the position. Other duties may be assigned.
Legal Technology System Administration- Serve as system administrator for the Matter Management, Entity Management, Service of Process, and E-Billing modules using the CSC platform.
- Maintain and coordinate user provisioning, permissions, and training for legal technology systems.
- Provide first-line support to the legal team on legal technology systems and related technical and operational issues.
- Serve as liaison to vendors and internal IT on system issues, upgrades, and renewals.
- Support implementation of new legal technology, including requirements gathering, testing, and rollout.
- Build and maintain reporting on legal spend, matter volume, and other departmental metrics.
- Docket court hearing and filing deadlines under attorney supervision.
- Facilitate outside counsel onboarding including securing requisite documentation and supporting accounts-payable setup.
- Support processing invoice adjustments and resolving billing inquiries.
- Generate and circulate reports of external counsel invoices pending for legal team review.
- Compile documentation for intercompany transfers of funds.
- Support corporate filings and entity maintenance, including obtaining certificates of good standing.
- Monitor and track service of process intake, garnishment processing and routing, and subpoena routing under attorney supervision.
- Coordinate department meetings and team events.
- Support onboarding of legal department members.
- Manage incoming legal department mail and route to the appropriate recipient.
- Prepare overnight shipping labels for team correspondence as needed.
- Maintain records storage.
- Maintain the contract repository for the legal department.
- Notarize documents.
- Primary responsibility shall be supporting the Legal Department. Administrative assistance to other departments may be assigned on an occasional basis to address business needs.
- The position works under the direction and supervision of licensed attorneys on the legal team.
- The position does not provide legal advice, render legal opinions, interpret contracts or statutes for internal clients, or exercise independent judgment on legal questions.
- The person in this position handles privileged and confidential information and is expected to maintain confidentiality and to route substantive inquiries to the responsible attorney.
