Roles & Responsibilities- Provide daily operational and administrative support to Project Managers including managing incoming mail, UPS shipping, and printing work orders.
- Create new jobs and close completed jobs in Hub Spot.
- Accurately record and check payments in Accounts Receivable, including ACH.
- Process Accounts Payable invoices using HH2.
- Prepare, review, finalize, and distribute weekly invoices via mail or email.
- Perform collection activities for outstanding Accounts Receivable.
- Review and track Work in Progress (WIP) to support accurate project billing and reporting.
- Scan, organize, and distribute test sheets and forms.
- Coordinate with Project Managers regarding unbilled WIP items and Lean Report items from the previous month.
- Prepare and process invoices for jobs approved by Project Managers for billing.
- Contribute to the overall success of Team UIS by performing additional duties as needed.
- High school diploma or GED
- 2+ years of relevant administrative experience
- Proficiency with Microsoft 365 (One Drive)
- Familiarity with Sage 300 or other construction/contractor-based accounting systems, preferred
- Strong attention to detail, communication, organizational, and multitasking skills
- Positive attitude with urgency to complete the tasks at hand
- Must be authorized to work in the United States
- Must be able to pass a background check and drug screen
