Summary
Coordinates and schedules incoming referrals to the Cancer Center, ensuring timely scheduling and follow-up. Provides daily support to the scheduling department, helping to ensure the efficient operation of daily schedules and tasks. Acts as a backup resource for both scheduling and support staff as needed.
Essential Duties and Responsibilities
- Complies with current and standardized referral policies and workflows.
- Processes all incoming Cancer Center referrals.
- Ensures complete demographic, insurance, and appropriate/pertinent clinical information is received.
- Identifies potential insurance issues and responds accordingly.
- Schedules appointments for multiple service lines by coordinating patients, providers, facility resources, ancillary staff, records, referrals, authorizations, and payers.
- Works closely with other members of the Cancer Center care team, including physicians and nursing staff, to prioritize and coordinate complex appointments for Oncology patients
- Coordinates with both clinical review and the authorizations team to prioritize and schedule appointments promptly.
- Meets with patients on initial appointment to assist with obtaining all necessary new patient paperwork.
- Provides patient with information regarding Patient and Family support programs, financial and transportation resource information, and pertinent Cancer Center contact information.
- Serves as a point of contact for patients and providers for questions or concerns regarding patient visits, assists in problem‑solving potential issues related to patient referrals due to social or financial barriers.
- Works with the Nurse Navigation and Financial Navigation team to evaluate the need for financial assistance.
- Collaborates with other schedulers in the department to ensure smooth operations. Assists with daily tasks as needed and supports providers with scheduling and other requests.
- Acts as a backup resource for scheduling.
- Acts as a backup resource for Fax File.
- Assist with outgoing referral coordination.
- Communicates clearly and effectively; listens and gets clarification as needed; participates in meetings; writes clearly and informatively; edits work for spelling and grammar; keeps others adequately informed and selects and uses appropriate communication methods.
- Collaborates with other departments to ensure patients are handled for other exams within the district.
- Manages all daily scheduling activities, including physician and patient requests, maintaining work queues, and partnering with the scheduling team to ensure schedules are efficiently coordinated.
- Manages difficult and emotional patient situations; responds promptly to patients’ needs and responds to patient requests for service and assistance. Communicates effectively with the patient‑care team.
- Keeps abreast of current developments and displays understanding of how the job relates and interacts with others; maintains confidentiality per policy and regulations.
- Looks for ways to improve and promote quality; demonstrates accuracy and thoroughness; applies feedback to improve performance.

Minimum Education/Experience
Associate's Degree or equivalent from a two-year college or technical school and 1-2 years relevant experience

Other Experience/Qualifications
Required:
- Maintains knowledge of computer programs associated with the Cancer Center.
- Working knowledge of medical terminology and ability to accurately read progress notes in patient charts.
- Ability to establish and maintain data files and records with attention to detail.
