Role Overview

The Maintenance Storeroom Leader is critical to the operational efficiency of the maintenance department. Serving as the gatekeeper for all spare parts and maintenance supplies, this role leverages the eMaint CMMS platform to ensure optimal inventory levels, accurate purchasing workflows, and seamless kitting for maintenance work orders. The ideal candidate balances technical administrative tasks with hands‑on inventory control to minimize downtime, eliminate stockouts, and support our technicians.

Responsibilities
  • Maintain accurate inventory data, including part numbers, descriptions, bin locations, and min/max levels within eMaint.
  • Perform physical cycle counts to ensure physical stock matches system records; reconcile and resolve any discrepancies.
  • Gather and issue parts needed for work orders, ensuring all materials are charged to the correct equipment or cost center.
  • Manage parts kitting for planned maintenance, ensuring all necessary components are staged for technicians before work begins.
  • Assist technicians with the identification of parts and distribute specialized tools as requested.
  • Maintain a clean, organized, and safe storeroom environment, ensuring food-grade and non-food grade are stored according to food safety standards.
  • Utilize the computerized inventory control system to identify, track, and purchase materials.
  • Initiate and track purchase requisitions and purchase orders through eMaint for stock replenishment and non-stock items.
  • Coordinate with vendors to obtain quotes, track order status, expedite urgent shipments, and ensure compliance with procurement policies.
  • Receive incoming shipments, verify packing slips against purchase orders, and inspect items for quality.
  • Accurately record receipts into the CMMS to update inventory balances.
  • Tag, label, and shelve parts in designated locations promptly.
Performance Metrics & Strategic Objectives

To ensure the storeroom drives value and efficiency, this role is accountable for the following KPIs and strategic goals.

  • Inventory Accuracy:
    Achieve >98% accuracy between physical stock and eMaint records.
  • Stockout Rate:
    Minimize the number of times a requested part is unavailable for a scheduled work order.
  • Kitting Efficiency:
    Measure and improve the percentage of work orders where all required parts are pre-staged before the job starts.
  • Lead Time & Emergency Costs:
    Track requisition-to-arrival times, identify underperforming vendors, and reduce "rush" shipping fees through proactive replenishment.
  • Proactive Obsolescence Management:
    Regularly review slow‑moving parts reports to identify and remove obsolete inventory, improving the turnover ratio and freeing up shelf space.
  • Data Integrity & Cost Containment:
    Act as the primary owner of eMaint data structure for parts and identify opportunities for bulk purchasing or standardizing common hardware to reduce overhead.
What You Will Bring
  • Education:

    High School Diploma or Equivalent.
  • Experience:

    2+ years in a maintenance or industrial storeroom/warehouse environment.
  • Technical Proficiency:
    Familiarity with CMMS systems, preferably hands‑on experience with eMaint CMMS (or similar enterprise EAM software). Basic computer skills, including MS Outlook and Excel.
  • Procurement:
    Demonstrated experience with the full procurement cycle, from requisition to invoice reconciliation.
  • Industry Knowledge:
    Knowledge of machine parts, motors, bearings, and electrical components.
  • Physical Ability:
    Ability to lift to 50 lbs, stand for extended periods, and maneuver around a facility safely.
  • Soft Skills:

    High attention to detail, strong written/verbal communication, and the ability to prioritize and successfully work across all levels of a fast‑paced environment.
  • Preferred:
  • Advanced proficiency in Microsoft Excel for data analysis.
  • Experience in an industrial manufacturing or facility maintenance environment.
