Description
The Senior Construction Administrator is a critical member of the project team, responsible for ensuring smooth project execution and successful close-out through comprehensive administrative, contractual, and data management support. This role plays a key part in communicating with all project stakeholders, assisting with daily operations, and directly supporting the Project Manager/Construction Manager in overall project delivery. The Senior Construction Administrator will report directly to the VP of Program Management.
RequirementsESSENTIAL DUTIES/RESPONSIBILITIES:
- Contract Management:
Oversee and administer construction contracts, ensuring strict adherence to terms and conditions. This includes facilitating clear and consistent communication among all contractual parties. - Change Orders & Modifications:
Independently manage the complete lifecycle of all project change orders and modifications. This involves meticulous documentation, obtaining necessary approvals, and effectively communicating updates to relevant stakeholders. - Project Delivery Support:
Provides robust support to the Project Manager and Construction Manager throughout all phases of project delivery. This includes contributing to scheduling, resource allocation, proactive risk mitigation, and ensuring the timely achievement of project milestones. - Reporting and Data Monitoring:
Take the lead in developing comprehensive project reports and conducting in-depth analysis of project data to identify trends, anomalies, and potential issues. Continuously monitor key project performance metrics to inform strategic decision-making. - Assist the project team with the company’s internal workflow management system by accurately entering data and generating insightful reports.
- Provide detailed scheduling assistance to the Project Manager and team members, potentially contributing to more complex schedule analysis and forecasting.
- Maintain and coordinate robust document control processes, ensuring all project documents are accurately filed, easily accessible, and properly versioned.
- Accurately reccord and promptly distribute all meeting minutes, ensuring clarity and capturing actionable items.
- Log and meticulously track all Contractor submittals and Requests for Information (RFIs), facilitating their timely processing and responses.
- Assist the project team with formal communication using project control systems, drafting, and reviewing correspondence as needed to ensure professional and consistent messaging.
- Provide advanced project administration duties, proactively identifying opportunities to streamline processes and enhance efficiency within the Project Management team.
- Analyze complex project data for error identification, comprehensive reporting, and proactive problem-solving to mitigate risk.
- Compile and meticulously review subcontract documents, issuing appropriate revisions to ensure contractual integrity and compliance.
- EDUCATION:
Associate Degree in Engineering, Construction Management, Engineering Technology, or related discipline. Work experience may substitute for preferred education based on the specific job requirements. - EXPERIENCE:
Minimum of 20+ years of experience working in the Construction or Engineering industry. - SKILLS:
- Strong technical acumen, exceptional organizational abilities, and superior coordination skills.
- Proven ability to effectively interact and communicate with clients, vendors, and internal team members at all levels.
- Proficiency in Workflow Management Systems.
- Must be proficient in the use of Microsoft Outlook, Word, Excel, SharePoint and Access.
This job operates primarily in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
