Formed in 1928–29 as the first professional symphony orchestra in the Southwest, the TSO is the longest continuously performing professional arts organization in Arizona. The mission of the organization is to build and enrich community through the experience of live music of the highest quality. It serves more than 120,000 lives each year, including 35,000 students, through concerts, educational programming and outreach.
Under the artistic leadership of Music Director José Luis Gómez since 2016, the TSO’s vision is to reflect its many communities and bring them together through music, creating deeper connections with the region’s heritage and making music for all Tucson and southern Arizona.
The Accountant serves as an integral member of the finance team for the Tucson Symphony Orchestra and is responsible for a variety of accounting tasks including assisting with month-end close, accounts payable, accounts receivable, audit preparation, and various financial‑analysis projects.
Duties and Responsibilities Accounts Payable- Set up and maintain vendor accounts, which includes obtaining W-9’s/tax documents and resolving discrepancies.
- Receives, verifies and processes invoices and expense reports; reconciles expense and other financial reports with account balances and other office records.
- Manage Business credit cards and holders.
- Allocates expenditures to correct accounts according to departmental procedures.
- Records entry of and verifies documentation for petty cash.
- Enforce Purchasing Authority Policy.
- Prepares check runs and issue ACH/wire payments as required. Monitor bank positive pay.
- Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues stop-payment orders as needed.
- Monitors aging of AP and track payment obligations to specific vendors.
- Responds to internal and external inquiries regarding accounts payable transactions.
- Prepare annual 1099’s, 1042, and other tax documents.
- Records daily donations and reconciling the Donor CRM with the accounting system. Assess pledges and gifts for donor restrictions and allocate appropriately.
- Records daily ticket sales transactions from box office, reconcile with various reports.
- Track and reconcile check deposits.
- Posts journal entries to general ledger.
- Monitors bank accounts to maintain appropriate balances and review transactions for accuracy.
- Reconciles bank accounts and other balance sheet accounts as assigned.
- Maintains and reconciles temporarily restricted and permanently-restricted funds, accounts receivable, prepaid expenses, and payable accounts.
- Manage TSO’s general finance email account.
- Assists with other department activities for month-end closing process.
- Provides annual budget input and monthly analysis.
- Prepare schedules for annual audits and aid in field work during audit.
- Assists with administrative work associated with personnel changes that impact access to financial sites (example: banking) and signing authority.
- Attend Finance Committee meetings and records meeting minutes.
- Other tasks as required.
- Available to work occasional nights and weekends for concert duty.
- Available to travel to performances throughout Pima County as needed.
- Maintain an active driver’s license and vehicle insurance.
Skills and Qualifications
- Bachelor’s degree in Accounting or relevant field and/or 5 years bookkeeping/accounting experience.
- Demonstrated experience using computer and accounting software specifically Excel spreadsheets and Microsoft Office. Must be able to learn other accounting software systems.
- Ability to respond to vendor and internal staff inquiries with tact and poise.
- Ability to work in a high-volume, fast-paced environment.
- Willing to work occasional long hours, particularly during preparation for the annual audit.
- Must be familiar with generally accepted accounting principles and how to apply the principles.
- Must be reliable and extremely trustworthy.
- Excellent organizational skills and attention to detail.
- Ability to maintain confidential and meticulous records.
