OFFICE COORDINATOR / ATHLETIC SECRETARY - CATALINA FOOTHILLS HIGH SCHOOL
Hiring Pay Range: $19.23 - $20.41/hr, DOE
FTE: 1.0 (40 hours per week)

Definition:
Under general supervision performs work of moderate difficulty, coordinating and providing administrative support activities.
SUMMARY:
Facilitate the efficient operation of the athletic department by assisting the Athletic Director with planning and implementing all athletic functions within the district. Provide clerical services to the Athletic Director and other staff members. Support the academic staff and student population.
Essential Functions:

Tasks:
* Answer phones, route calls and take messages.
* Pick up and deliver mail to students and staff.
* Greet and direct students and visitors to appropriate person or place.
* Communicate with Athletic Director, coaches, staff, students and parents.
* Serve as resource to students, staff and public.
* Communicate with employees regarding policies, benefits and other employment issues.
* Prepare word processing correspondence documents.
* Produce, copy and distribute periodic newsletters, flyers, mailings and documents.
* Maintain, update and share teacher and student calendars.
* Monitor test taking for teachers as requested.
* Assist with supervising students as needed.
* Monitor halls, restrooms and monitor building doors during lunch periods when buildings are closed.
* Maintain student attendance records and follow up with parents as needed.
* Maintain student discipline files.
* Monitor and track purchase orders and budget status and produce related reports.
* Prepare and submit deposit transmittals.
* Maintain databases and spreadsheets and generate periodic reports.
* Order office and athletic supplies following all procurement rules and regulations.
* Register students each season for AIA offerings.
* Collect athletic fees and process refunds as needed.
* Maintain records of paper work required for participation from the AIA and the CFHS athletic packet.
* Monitor AIA and CFSD requirements for athletic eligibility each quarter.
* Maintain athletic calendars and post calendars on the AIA and CFSD athletic web site.
* Serve as coordinator for scheduled athletic events (including: transportation, game workers, cash boxes, student release times, deposits and other needed assistance).
* Perform other duties as assigned.
Knowledge, Skills and Other Characteristics:
Knowledge of the AIA and CFSD rules regarding student athlete eligibility requirement.
Knowledge of standard office practices and procedures.
Knowledge of CFSD enrollment and residency rules and regulations
Proficient skills in word processing, database, and spreadsheets
Excellent communication, organizational and interpersonal skills
Proficient math and grammar skills
Ability to maintain confidentiality
Ability to serve as a positive liaison between parents and athletes in the office as well as in the community
Skill in establishing and maintaining effective working relationships with staff, administrators, students, parents and the general public.
Minimum Required Qualifications:
High School diploma or GED and one year of administrative support activities.
Applicant must pass an EXCEL proficiency exam involving basic accounting skills.
Special Requirements :
Must possess or have the ability to obtain a Level I IVP Fingerprint Clearance Card through the Arizona Department of Public Safety.
