SCHOOL SECRETARY

Hiring Pay Range: $21.23 - $22.53 per hour, DOE

FTE: 1.0 40 hrs/wk

Hours:

Monday - Friday, 6:45 am - 3:15pm (includes 30 minute unpaid meal break)

Benefits Eligible, Non-Exempt

11 months per year, 233 paid workdays per year

Summary:

Under general supervision of a school Principal performs secretarial work of moderate difficulty.

Essential Functions:

Tasks:

Process a wide variety of paperwork including leave requests, purchase requisitions, work orders, travel requests, field trip requests, attendance, payroll, requests to borrow materials, injury reports, student activity forms, and student screening forms.

Perform secretarial duties for the Principal, including scheduling appointments, processing incoming mail, word processing, copying, answering phones, reference checks on new personnel, produce and distribute weekly staff bulletin and/or monthly school newsletter.

Assist with signing in and out visitors and volunteers.

Assist in administering the budget.

Obtain cost estimates, maintain supply inventory and order supplies.

Enter data into and monitor accounting system.

Generate bank deposits for student's activities, replacement bus cards, library activities and gifts/donations to the school.

Record staff absences and coordinate substitutes assigned to the school, including class coverage, substitute no-shows and associated paperwork.

Process and maintain payroll records for classified staff. Coordinate and facilitate report card process and generate honor roll.

Plan, coordinate and administer summer registration, register and withdraw students, compile registration database and process registration funds.

Maintain cumulative files, custody files and mandated registration reports.

Coordinate school activities with FFO.

Serve as liaison between school staff and school administration and interface with all levels of operations at the district office as needed.

Assist other office staff with answering phones, signing students in/out and daily attendance.

Work with parents regarding bus transportation and locating children.

Coordinate pest control for site, including responding to questions and concerns and meeting public notification requirements.

Serve as back up for health assistant as needed.

May coordinate the activities of assigned office support staff.

Knowledge, Skills and Other Characteristics:

Knowledge of office practices and procedures.

Knowledge of state and CFSD registration guidelines and policies.

Knowledge of CFSD policy and procedures manual; accounting codes; and parent, student and staff handbooks.

Skill in using word processing software and performing accurate data entry.

Skill in communicating effectively, orally and in writing.

Skill in establishing and maintaining effective working relationships with staff, administrators, students, parents and the general public.

Minimum Required Qualifications:

High School diploma or GED and two (2) years of secretarial experience.

Special Requirements :
Must possess or have the ability to obtain a Level I - IVPP Fingerprint Clearance card through Arizona Department of Public Safety.
