Summary:
The Administrative Assistant provides comprehensive administrative and operational support. This role supports school administrators, instructional staff, and Career and Technical Education students by ensuring efficient office operations, accurate processing of requisitions, and effective coordination of activities. The position requires a flexible work schedule, including evening and occasional weekends to support events and student activities.
Essential Duties and Responsibilities:

- Provide administrative support to school administrators, including calendar management, correspondence, report preparations, and meeting coordination.
- Prepare, enter, track, and reconcile purchase requisitions related to Career and Technical Student Organizations (CTSO's), instructional programs, and school operations.
- Maintain accurate records for CTSO expenditures, events, memberships, and activities in compliance with district and state requirements.
- Serve as a point of contact for internal and external stakeholders, including staff, students, parents, vendors and district departments.
- Assist with planning and logistical support for meetings, competitions, events, and activities, including those held during evenings, and weekends.
- Maintain confidential student, staff, and program records in accordance with applicable laws and district policies.
- Support front office operations, including answering phones, greeting visitors, and responding to inquiries.
- Assist with data entry, filing, and management of electronic and paper records.
- May work with federal grants and assist with the distribution and inventory of the student snack program.
- Coordinate travel, registrations, and documentation for teacher and student events and conferences.
- Performs other related duties as assigned

Minimum required Qualifications/Education and/or Experience:
- High school diploma or equivalent, plus some college coursework in business, office practices or related field preferred.
- Minimum of two years of administrative or clerical experience, preferably in a school district and high school level environment.
- Experience with purchase requisitions, budgeting processes, or financial tracking.
- Proficiency in standard office software (Microsoft Office Suite and Google Apps)
- Strong organizational skills and attention to detail
- Experience working in an educational setting
- Ability to manage multiple tasks, meet deadlines, and work independently.
- Effective written and verbal communication skills.
- Valid Arizona IVP fingerprint card or be able to obtain one
- Proof of MMR immunization required (unless born prior to January 1, 1957)
- Negative TB test (within the last year)
- Valid AZ driver's license
- Experience working in Career and Technical Education programs or with Career and Technical Student organizations (CTSOs).
- Knowledge of school district finance systems such as School ERP Pro or other comparable school finance software.
- Knowledge of school district policies and procedures.
Skills and Abilities
:
- Knowledge of office concepts, practices and procedures.
- Ability to establish and maintain effective working relationships.
- Ability to utilize mathematical formulas, and apply math functions.
- Office, school environment with frequent interaction with staff and students.
- May require extended periods of sitting, standing, and use of office equipment
- Occasional lifting of materials up to 25 pounds
