Position: Body Shop Administrative Support (Auto Mall)

POSITION SUMMARY

Tracks paperwork, insures that all paperwork is completed in an accurate manner, is kept current daily, and is processed in a timely manner. Files all paperwork in an organized and timely manner. Assists in closing Body Shop repair orders, billing, helping with phones and greeting customers and vendors. Insures that detailed work of the Department is carried out in a smooth and efficient manner.

Carries out all work and any assignments delegated by the Manager. Insures all office and all storage areas are kept clean, neat, and clearly labeled. Performs light shipping and receiving duties.

ESSENTIAL JOB FUNCTIONS
  • Completes all paperwork and forms accurately and in a readable manner, either utilizing computer equipment or manually, depending on the work required.
  • Answers multiple telephone lines responds to inquires and directs calls to appropriate parties, when needed uses telephone paging systems in a clear voice with a pleasant manner.
  • Answers basic customer questions and directs customers to correct personnel and various locations throughout the dealership.
  • Arrives at work dressed in appropriate, professional dress which is clean and pressed.
  • Keeps repair orders and other related paperwork continually organized in a standard filing system available for immediate reference and retrieval.
  • Organizes, prepares, records, posts, calendars and reconciles Body Shop claims on both manual and computerized system.
  • Receives from customers the correct payment for services, processes cash, check and/or credit card accurately.
  • Completes and finalizes all paperwork related to repairs including preparing and sending the final bill to the appropriate insurance company within 24 hours.

  • ESSENTIAL JOB REQUIREMENTS
  • Ability to transfer and/or incorporate in correspondence and reports any series of “18” number and letter combinations.
  • Converses with a wide variety of personalities in a pleasant and helpful manner.
  • Ability to utilize calculating equipment, adding machine and computer quickly and accurately for majority of workday.
  • Ability to record data (taken by phone or in person) accurately, legibly and quickly while entering data simultaneously into computer system.
  • Ability to use 10 key adding machine, personal computer and VDT accurately, utilizing a variety of programs and systems.
  • Repeated, regular and accurate input of information to computer. Constant computer input, generally for the entire shift, up to 8 hours a day on a regular basis.
  • Ability to manage personal time effectively and efficiently.
  • Ability to clearly and effectively communicate with diverse and demanding population of co-workers customers and vendors;
  • Ability to focus successfully and productively on job duties with consistent noise, distractions and interruptions; working through frustration, anger and constant demands for work to be completed, without internalizing.
  • Ability to work in a consistently demanding and fast paced environment; focus on required tasks, ignoring surrounding conversations and distractions.
  • Ability to work in a stationary indoor environment which is very dusty.
  • English reading and math skills sufficient to read all technical related documents, Material Safety Data Sheets, insurance and manufacturer’s information (approximately the 10th grade level).
  • Consistent, regular and timely, daily or as scheduled attendance.
  • Ability to legibly complete required forms, documents and reports as needed.
  • Works cooperatively and courteously with a diverse population of co-workers and customers. Clearly and effectively communicates with diverse work group; handles frustration, anger and pressure without internalizing.
  • Ability to maintain good employee relations by acting courteously and amicably towards other co-workers.
