Via Elegante Assisted Living is seeking a dynamic Executive Assistant to support our Executive Director. What

You'll Do Administrative Support
  • Provide direct administrative support to the Executive Director
  • Manage front desk operations, phones, emails, and visitor coordination
  • Maintain organized records, billing support, and compliance documentation
  • Assist with resident admissions and onboarding paperwork
  • Coordinate transportation scheduling and provider communication
  • Support financial tracking, deposits, and documentation submission
  • Assist with special projects and community initiatives
Resident Services Coordination
  • Respond to resident and family inquiries with professionalism and warmth
  • Support new resident move‑ins and room transfers
  • Conduct community tours for prospective families
  • Monitor care‑related communication and documentation
  • Help maintain a safe, welcoming, and organized environment
Activities & Engagement Support
  • Assist in planning and coordinating life enrichment programs
  • Support group activities, outings, and dementia‑friendly engagement
  • Help maintain the monthly activities calendar
  • Ensure activity spaces and supplies are organized
  • Encourage resident participation and social connection
What We're Looking For
  • High School Diploma or GED required
  • Experience in senior living, healthcare, hospitality, or administrative coordination preferred
  • Strong organizational and multitasking skills
  • Confident communicator with a warm, professional demeanor
  • Proficient in Microsoft Office and digital systems
  • Ability to manage multiple priorities and meet deadlines
  • Valid Arizona Driver's License (or )
  • CPR/First Aid certification (or ability to obtain)
  • Ability to work occasional evenings, weekends, or holidays as needed
  • Arizona Memory Care Certificate
