Exceptional Scholar Services Administrative Assistant (full-time)

The purpose of the ESS Administrative Assistant position is to provide Exceptional Scholar Services (ESS) records management and administrative assistance to the ESS Director, Case Managers, Contractors and Paraprofessionals. The ESS Administrative Assistant is primarily responsible for the management of ESS records including, but not limited to, ESS scholar district files, management of ESS scholar database, district reporting of ESS data, and other such responsibilities as assigned.

This position also provides administrative support such as greeting and attending to ESS office visitors, greeting and attending to school or district staff, answering phones, taking messages, and coordinating ESS office operations as assigned. Regular attendance is necessary to perform the essential functions of this position.

Line of Authority / Reports To

ESS Administrative Assistant shall be directly responsible to the ESS Director. Works with:
Scholar Support Manager, ESS Case Managers, ESS Services Contractors, Paraprofessionals, Health Services Coordinator, ESS Director, Vice Principal, Principal, Head of Schools, Families and Scholars of Leman Academy.

Qualifications /

Minimum Requirements
  • Minimum of an Associate’s degree OR a High School diploma with applicable working experience.
  • AZ IVP Fingerprint Clearance Card / Background and Criminal History Clearance.
  • First Aid and CPR Certification.
  • Ability to manage conflict resolution with an attitude of humility and service.
  • Exhibits patience, courtesy and tact when dealing with others.
  • Ability to communicate effectively and professionally with scholars, parents, co-workers and build positive relationships.
  • Ability to operate office equipment as required on assignment; i.e. fax machine, copier, computer, etc.
  • Ability to lift boxes and packages of varying weights and move them to other locations.
Essential Functions & Responsibilities
  • Manages records requests for all scholars, makes copies for school staff as assigned, and creates district files.
  • Maintains all physical files housed at each of the following campus locations:
    Marana, Oro Valley, Central, East, Mesa, Sierra Vista, and Virtual. This requires monthly visits to each campus to print and file items for the physical files. Files will be collected for scholars no longer enrolled and be brought to the district office.
  • Manages ESS and 504 spreadsheet data for due dates, scholar ESS and 504 data.
  • Receives and manages all 504 and ESS paperwork and files appropriately.
  • Gathers and reports all 504 and ESS data as requested by school and district administration to appropriate entities.
  • Oversee and maintain 504 and ESS scholar databases and ensure data is current and accurate.
  • Manage changes in enrollment, level of services, eligibility categories, etc. in data management systems.
  • Assist ESS Director by utilizing integrity reports from school data system, ESS records system and ADE Connect for accuracy in reporting ESS school site data and ensuring correct funding.
  • Composes, types, proofreads, copies, distributes, and files letters, memos, meeting notices, IEPs, and other ESS and 504 related documents as requested.
  • Attends training and workshops deemed necessary to perform duties.
  • Performs other work-related duties as required.
  • Maintain confidentiality per FERPA.
  • Other duties as assigned.

Leman Academy offers a very competitive benefits package and overall compensation will be commensurate with talent, experience and education.

Status

This is a 12-month position, up to 40 hours per week.
