Qualifications- Bachelor's degree in a related field
- 2 years of related experience
- Strong organizational and administrative skills
- Computer proficiency
- Valid driver's license
- Assist in departmental recruitment, hiring, and onboarding process and procedures, including interviewing, staff paperwork and documentation, and training.
- Responsible for completing payroll requirements using our web-based software program to complete bi-weekly payroll, including tracking all PTO and sick time.
- Responsible for tracking inventory using established processes, including placing orders and maintaining safe and organized storage of all inventory items.
- Responsible for managing work orders and service requests throughout the agency, including prioritizing requests, assigning projects, working with maintenance technicians, and setting timelines/deadlines.
- Responsible for setting up and managing our maintenance software and database, Asset Essentials, to ensure efficient workflow.
- Coordinating with vendors and contractors for new projects and any necessary outsourced work, including writing RFPs or RFIs, obtaining project bids, and scheduling appointments.
- Assist in managing Building Services accounts payable, including purchasing, expense tracking, monitoring, obtaining outstanding invoices, submitting purchase orders and check requests, and approving related transactions and bills.
- Oversees the preventative maintenance, ADOT inspections, registration, and repairs of our fleet.
