Position HighlightsThe Immunobiology Department is currently seeking an Operational Support Assistant II. The employee will provide support for the administrative area of the department. The main responsibilities include processing financial transactions such as travel reimbursements, disbursement vouchers, and reconciling purchasing cards; attending monthly faculty meetings, taking notes and preparing minutes; assisting with planning of Friday seminar speakers itinerary and travel arrangements; preparing P & T packages for faculty promotions;
and assisting with planning of department events.

Duties & Responsibilities- Reconcile department purchasing card transactions on a daily basis, ensuring proper documentation is provided. Assist Accountant with financial transactions as requested.
- Process reimbursements to department employees for reimbursable expenses and travel.
- Assist faculty with planning of Friday seminar speakers visits and faculty recruitment when needed. This includes preparing the itinerary of meetings while on campus; making travel arrangements for the speaker/candidate; assisting with providing lunch, and processing any reimbursements to faculty and/or speaker/candidate.
- Collect documentation and prepare promotion & tenure packets for submission to Faculty Affairs, for faculty that are eligible for promotions.
- Assist with planning department events, such as symposiums, employee recognition and promotions, retirement celebrations.
- Ability to communicate effectively with different groups and individuals, both internal and external to the University of Arizona.
- Ability to handle multiple, competing deadlines for meetings.
- Ability to be flexible and adapt to Department's growing and changing needs.
- Ability to work independently.
- Ability to learn new programs and systems quickly.
- Knowledge of Microsoft suite, Box, and Zoom.
- High school diploma or high school diploma equivalency is required.
- Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
- Knowledge of University financial policies and procedures, particularly with regard to purchasing and travel, preferred but not required.
