Overview

Job Title:

Administrative Specialist I (Classified). Department:
Health. Job Classification: 5754. Salary Grade: 6. Pay Rate: $21.76 - $25.56 per hour (hiring range). Pay Range: $21.76 - $29.36 per hour.

Grant‑funded position ending November 2027. Join the Pima County Health Department’s Emergency Mitigation and Preparedness Division to help strengthen community resilience.

Essential Functions
  • Coordinate unit activity with other departmental sections, divisions, and county or outside agencies; serve as an internal departmental coordinator for support functions.
  • Respond to public and staff inquiries and provide information or resolve problems requiring application of departmental or program rules and policies.
  • Represent unit/department on committees and working groups and may be granted authority to commit unit/department support to issues.
  • Coordinate, schedule and organize unit, program or departmental calendars and meetings.
  • Lead and participate in the preparation and processing of accounting documentation such as requisitions, purchase orders, claims and fund transfers.
  • Create, maintain or direct the maintenance of specialized databases, including inputting and retrieving data and producing complex computer‑based reports.
  • Coordinate and monitor standard departmental Intergovernmental Agreements (IGA), contracts and other obligatory agreements.
  • Research, compile and perform initial analysis of information, and prepare routine, recurring and special reports, correspondence, memoranda, personnel forms, operations manuals and other documents for supervisory review and approval.
  • Compile and summarize statistical and operational data, and prepare periodic and special reports.
  • Compile information used in unit budget preparation, monitor miscellaneous expenditures and report to supervisor on program budget activities.
  • Conduct and document confidential or sensitive inquiries for management; maintain appropriate security and confidentiality of information.
  • Establish and maintain specialized reference files and reference materials.
Minimum Qualifications
  • Associate’s Degree from an accredited college or university in public administration, business administration, management, or a closely related field; or
  • One year with Pima County as an Administrative Assistant III or closely‑related professional administrative classification.
  • Qualifying education and experience must be clearly documented in the Education and Work Experience sections of the application.
Preferred Qualifications
  • Minimum three (3) years experience providing administrative office support.
  • Experience with professional communication, including composing and editing written materials.
  • Experience with multi‑tasking and prioritizing urgent projects in a fast‑paced environment.
  • Minimum three (3) years experience with Microsoft Office Suite including Outlook, Word, PowerPoint, SharePoint, and Excel.
Licenses and Certificates

Valid driver’s license is required at time of application and appointment. A 39‑month DOT Motor Vehicle Record review will be conducted. Failure to maintain required licenses may result in termination. Some positions may require certification as a Notary Public by the State of Arizona at the time of appointment or prior to completion of initial/promotional probation.

Additional Requirements

Pre‑employment background checks and verification of work history, education, and criminal conviction history will be conducted. Proof of immunization(s) and/or TB screening will be required after offer.
