The University of Arizona's Steward Observatory invites you to apply for the role of Senior Assistant, Facilities & Safety Services. This position will be integral to providing the occupants of the Steward Observatory main complex with top-notch facilities in which to conduct their groundbreaking research. Key priorities for this position will include the on-the-ground initiation, coordination and follow-up of services and safety efforts.
The position will also involve communication, coordination, and data handling, tracking, and reporting for the Steward Facility and Safety Teams, which support the Observatory as a whole.

Duties & Responsibilities
Space Planning & Occupant Support:
* Works independently and with the Facility and Safety Team, faculty, students, and staff to coordinate space remodels and moves, lab renovations, and occupant relocations. Spaces include labs, classrooms, offices, restrooms, and other common areas of the facility.
* Works with Facilities Coordinator, faculty advisors, and the FSS Team to achieve the best use of space and complete required improvements, often within limited budgets.
Facilities Operations & Service Coordination:
* Provides on-site communication and support for Steward Observatory's main complex facility, custodial, security, and safety efforts.
* Assists the FSS team in documenting, reporting, and scheduling building and grounds needs, and serves as a point of contact for building occupants, the Steward FSS Team, UFS, and vendors.
* Provides direct administrative support for the daily functions of the FSS team.
* Works daily with multiple groups that affect the function and operation of the building. These units include Facilities Management Renovations, Custodial Services, Environmental Health and Safety, outside contractors and others.
* Supports the daily facility needs of occupants and their assigned spaces. This includes arranging furniture assembly, furniture moves, and the hanging of whiteboards, chalkboards, and pictures.
* Occasionally assists with basic furniture assembly and moving.
* Arranges for additional waste and recycling bins and their pick-up when needed.
* Ensures signage is current and walkways and hallways are clear.
* Serves as a point of contact to ensure floors and carpets are regularly cleaned and that all required monthly inspections (building condition, vehicle, and custodial services) are completed.
Inventory, Records & Data Management:
* Works with the FSS Team to ensure capital equipment and other tracked items are accurately inventoried and appropriately surplused.
* Assist with inventory management, inventory data systems, equipment loan tracking, surplus processes, and the maintenance and organization of records.
* Collects and enters data as part of clerical duties.
Safety & Compliance Support:
* Assists with safety reports, documentation, and follow-up activities.
* Performs safety checklist items, such as posting signs, replenishing first-aid kit supplies, checking emergency lighting, and filing monthly forms for AEDs and Stop the Bleed kits.
* May accompany or assist with inspections.
Administrative Coordination:
* Schedules and attends meetings to provide or obtain information for the FSS Team.
* Performs other duties as assigned.
* Participates in an after-hours emergency call tree.
Knowledge, Skills, and Abilities (KSAs):
* Knowledge of building systems and maintenance practices.
* Proficient in Microsoft Office Suite.
* Excellent communication, collaboration, and coordination skills.
* Knowledge of maintaining institutional and departmental data and tracking systems.
