Position Highlights Under the general supervision of the Executive Assistant, the Administrative Assistant provides a wide variety of advanced secretarial and administrative support in support of Arizona Public Media's administrative, fundraising, and executive teams. The incumbent must exemplify personal integrity and be able to demonstrate the ability to exercise discretion, maintain confidentiality and, with minimal direct supervision, act with initiative and use independent judgment.

Duties & Responsibilities- Provides administrative support to the Executive Office, administrative leadership team, and Development Office, including travel authorizations, expense reports, reimbursement requests, public file assistance, communications, scheduling, and calendar management. Assists with training of student assistants.
- Executes the timely disposition of check donations in alignment with University of Arizona cash handling procedures, including categorizing, check log entry, donor and/or membership database entry, updating donor/member information, and daily bank deposits.
- Provides donor/member assistance as needed, including technical support such as PBS Passport activation. Researches and resolves customer/client inquiries while ensuring excellent customer service.
- Assists with activities of the 30-member Community Advisory Board, including preparation for regular meetings, committee meetings, and volunteer activities. Assists with special events as needed. Some special events may be held outside of regular business hours or away from primary place of business.
- Maintains and regularly updates the department's policies and procedures manual to ensure accuracy and compliance. Completes all required University and departmental trainings and performs other duties as assigned.

- Knowledge of standard office practices and procedures.
- Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and Access databases.

- Ability to communicate effectively and professionally in person, on the phone, and via email with the general public, donors, members, and staff.
- Ability to exercise discretion and maintain confidentiality when handling sensitive information.
- Ability to prioritize multiple assignments, manage competing deadlines, and maintain accuracy in a fast-paced environment.

Minimum Qualifications- High school diploma or equivalent, or equivalent learning attained through experience.
- Minimum of 3 years of relevant experience required.
- Experience providing administrative support in a professional office environment.
- Experience working with donors, members, or the public in a customer service role.
- Experience with Microsoft Office applications, including Outlook, Excel, Word, and Access.
- Experience with cash handling, data entry, or database management.
