Executive Assistant (Senior Coordinator, Admin)

The Advanced (Use the "Apply for this Job" box below). Business Unit (SBU) is seeking an Executive Assistant (Senior Coordinator, Admin) to provide superior administrative support to the hypersonic programs' efforts located in Tucson, Rita Road site. As an Executive Assistant, you will have a key role with a variety of responsibilities that fall within three main categories: a) provide support to the Portfolio Director, Directors as well as the Program Managers for the family of efforts, b) provide support to the 600+ employees, and 7 office and lab spaces within the portfolio of hypersonic programs, and c) interface with other administrative assistants and personnel across other Programs/Directorates within the Advanced Technology SBU.

The Executive Assistant must exhibit the utmost level of professionalism and use strong interpersonal skills to build relationships within the Advanced Technology leadership teams. You will maintain a high degree of confidentiality and will need to exhibit discretion when handling sensitive information.

What You Will Do

  • Manage calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minutes changes. Attention to detail is a must as multiple locations and time zones are employed.
  • Work with other administrative personnel to coordinate meetings between various members of leadership who could be in multiple locations and/or time zones.
  • Coordinate travel arrangements and complete expense reports and other associated tasking in a timely manner.
  • Arrange for conference rooms, catering, audio/video and other essential services for meetings and conferences.
  • Compile and/or assist in preparation of various documents, to include but not limited to meeting minutes, presentations, reports, correspondence, and other materials.
  • Submit visit requests via approved Raytheon tools.
  • Process employee changes utilizing approved Raytheon tools.
  • Attend meetings and other functions as requested.
  • Plan and coordinate on-boarding and off-boarding activities for employees.
  • Work with the admin team on various projects, as well as assisting with improving processes where necessary.
  • Perform a wide variety of intricate administrative duties requiring professionalism, tact, diplomacy, discretion, and sound judgement.
  • Build and maintain good business relationships with managers and administrative personnel.

What You Will Do

  • Requires daily interface with customers and the engineering team in communicating financial status, engineering progress, issues, and opportunities
  • Ensure risk / opportunity management plans are comprehensive and executed to meet program and business commitments
  • Execution of the annual and 5-year business plan to meet commitments to Raytheon
  • Travel up to 25% based on business needs

Qualifications You Must Have

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience
  • Microsoft Office experience
  • Experience with meeting coordination and logistics
  • Administrative or office support experience in roles involving general administrative or office support tasks
  • Ability to obtain and maintain a Secret U.S. government issued security clearance and program access after start

Qualifications We Prefer

  • Ability to maintain confidentiality of information and data
  • Aerospace and defense administrative assistant experience
  • Experience utilizing administrative related tools and processing for file sharing, moves, facility tickets, visitor requests, and/or ordering supplies
  • Working knowledge of teleconferencing tools and scheduling processes for Zoom, Teams, and government VTC items
  • Ability to respond quickly and effectively to non-routine requests and situations
  • Experience in working independently as well as working in a team environment
  • Evidence of being a self-starter with the ability to take appropriate initiative and independent judgement for assisting leaders, customers, employees, and others
  • An active and in-scope Top Secret US clearance
