Position Summary
The Preschool & Afterbell Administrative Assistant serves as the welcoming face and primary point of contact for Preschool and Afterbell families, providing exceptional customer service and administrative support to ensure a positive, organized, and family-centered experience. This position supports daily operations by assisting with family communication, student arrival and dismissal procedures, phone and email correspondence, billing questions, program information, newsletters, menus, and other administrative tasks.
This position is not included in classroom staffing ratios and does not serve as a classroom instructional or childcare position. The Preschool & Afterbell Receptionist works in partnership with the Preschool Director, Afterbell Director, and campus administration to support efficient program operations while maintaining a warm and professional environment for scholars, families, and staff.
Essential Duties and Responsibilities
Family Experience & Front Office Support- Welcome Preschool and Afterbell families, scholars, and visitors with a positive, professional, and service-oriented attitude.
- Serve as the first point of contact for families entering and exiting the Preschool and Afterbell areas.
- Assist with arrival and dismissal processes while following all safety and security procedures.
- Maintain a professional and organized reception area.
- Respond to family questions and direct concerns to the appropriate staff member.
- Build positive relationships with families through timely, respectful, and solution-focused communication.
- Answer incoming phone calls and respond to emails in a timely and professional manner.
- Assist families with general questions regarding schedules, procedures, billing, menus, and program information.
- Support communication efforts by preparing and distributing newsletters, reminders, and family updates.
- Assist with maintaining accurate family communication records.
- Assist with Preschool and Afterbell billing inquiries, account questions, and payment communication.
- Support enrollment paperwork, forms, and administrative documentation as needed.
- Assist with maintaining program calendars, menus, and family-facing materials.
- Support data entry and record organization related to Preschool and Afterbell operations.
- Assist leadership with special projects and operational tasks to support program success.
- Follow all Leman Academy safety, security, and confidentiality procedures.
- Monitor access to Preschool and Afterbell spaces according to campus protocols.
- Maintain confidentiality of scholar and family information.
- Support a safe, welcoming, and organized environment for all scholars and families.
- Understand that this role provides operational support and is not responsible for meeting classroom supervision or staff-to-scholar ratio requirements.
Requirements
Required Qualifications- High school diploma or equivalent.
- Excellent verbal and written communication skills.
- AZ IVP Fingerprint Clearance Card / Background and Criminal History Clearance.
- First Aid/CPR
- Food Handlers Card
- Strong customer service skills and the ability to interact positively with children, families, and staff.
- Ability to maintain professionalism, confidentiality, and discretion.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced school environment.
- Proficiency with email, Google Workspace, Microsoft Office, and basic administrative systems.
- Experience working in a school, preschool, childcare, or customer service environment.
- Experience with billing systems, student information systems, or family communication platforms.
- Bilingual skills are a plus.
