Position Highlights
The DRC Administrative Associate (Administrative Support Assistant II) provides administrative support for the department and serves as part of the DRC team. As the first point of contact for individuals calling, contacting, and visiting Disability Resources, the Administrative Associate must exhibit excellent problem-solving, communication, and customer service skills to support a fast-paced office environment. The Administrative Associate triages emerging situations and makes appropriate referrals, requiring extensive knowledge of office policies and procedures.
The Administrative Associate maintains confidential disability-related documentation and has access to sensitive student information, ensuring strict compliance with privacy regulations, institutional policies, and confidentiality standards. The Administrative Associate should be flexible, forward-thinking, and adaptable.

Duties & Responsibilities- Serves as first point of contact for students, staff, faculty and community members, providing information to visitors, requiring extensive knowledge of Disability Resources and campus resources.
- Monitors departmental email/phone calls, responds and follows up as needed on all correspondence.
- Triages emerging situations and makes appropriate referrals.
- Monitors and updates departmental messaging and student listserv announcements.
- Independently composes confidential and professional communication.
- Works closely with staff to ensure efficient reception services.
- Assists with scheduling: room reservations, calendaring, and general arrangements for departmental activities and programming.
- Participates in departmental meetings.
- Provides direct administrative support to department and Management Staff.
- Assists in managing appointments for specific professional staff.
- Serves as backup Building Manager, includes maintaining key file, scheduling maintenance/custodial requests and managing alarm/door lock.
- Assists with inventories and orders department-wide supplies.
- Routinely update related policy/procedure manuals.
- Maintains lobby and resource rooms.
- Routinely updates departmental SharePoint.
- Assists with special projects or other duties as assigned.
Skills and Abilities
- Excellent oral, written and interpersonal communication skills.
- Commitment to and a strong customer service philosophy, including the ability to use good judgment, and flexibility within established guidelines.
- Organizational skills, attention to detail and high degree of openness to new approaches and new ideas.
- Knowledge of common computer applications (e.g. Microsoft Office, and departmental databases).
- Ability to problem solve and make decisions.
- Demonstrated ability to de‑escalate challenging situations with professionalism, empathy, and sound judgment.
- Ability to effectively communicate and work as part of a team.
- Skill in providing quality customer service.

Minimum Qualifications- High school diploma or high school diploma equivalency is required.
- Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
