About the Role
We are looking for a File Clerk to keep our physical and electronic records organized and up to date. You will scan, file, retrieve, and securely maintain documents for Sterling Case Management & Fiduciaries of Arizona and Esteemed Life Solutions. This position works with team members across the organization and is a good fit for someone who takes pride in accuracy, confidentiality, and completing work on time.
WhatYou Will Do
- Organize and maintain physical and electronic client, matter, and company files.
- Scan, upload, name, and save documents in the correct electronic location.
- Check scanned documents to make sure they are complete, legible, and properly oriented.
- File incoming documents promptly and retrieve records when requested by staff.
- Review files for missing, duplicate, misplaced, or incorrectly filed documents and correct routine issues.
- Copy, print, assemble, sort, and prepare documents for staff review.
- Maintain accurate records in Clio, SharePoint, Microsoft 365, and other company systems.
- Protect confidential client, employee, legal, medical, financial, and company information.
- Follow company procedures for document access, storage, retention, and destruction.
- Report missing records or significant filing concerns to the appropriate supervisor.
- High school diploma or GED.
- Strong attention to detail and commitment to accuracy.
- Good organization, time-management, and follow-through skills.
- Ability to manage routine assignments and changing priorities with limited supervision.
- Ability to handle confidential information with discretion and care.
- Basic computer skills and comfort learning document-management systems.
- Ability to work cooperatively with team members across departments.
- Previous filing, clerical, records-management, or administrative experience.
- Experience in a legal, fiduciary, healthcare, financial, or professional office.
- Experience using Microsoft 365, Clio, SharePoint, scanners, or similar systems.
