Position Overview

The AP-AR Coordinator is responsible for managing day-to-day financial administration within our IFS ERP consulting organization and systems. This role ensures accurate project billing, financial recordkeeping, consultant and vendor payments, payroll support, and compliance with employment practices. The ideal candidate brings strong organizational skills, financial accuracy, and the ability to manage confidential information while supporting a dynamic, client-driven consulting environment.

Primary Responsibilities
  • Manage accounts payable, including processing vendor and subcontractor invoices, maintaining W-9 documentation, and coordinating payments
  • Administer accounts receivable, including generating client invoices based on time-and-materials, milestone, or fixed-fee IFS ERP projects
  • Document, communicate, and coordinate all AP, AR, and contract agreements and resolutions with clients
  • Manage and maintain timekeeping systems to ensure accurate project-based reporting
  • Collaborate with project managers to validate billable hours, deliverables, and contract terms
  • Manage and administrate project setups
  • Support budgeting and expense monitoring
  • Manages onboarding and offboarding system access and setups
  • Administer PTO tracking and accrual balances
  • Company event management and coordination
  • Other activities as needed
Qualifications
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field with 2+ years’ experience OR 5+ years of progressively responsible AP & AR execution
  • Experience working with customers in professional services or consulting is preferred
  • Familiarity with project-based billing and time-tracking systems
  • Experience with Workflow Max and Power BI is a plus
  • Proficiency in accounting software and advanced Excel skills
  • Understanding of service-based revenue recognition principles
  • Strong attention to detail, organizational skills, and ability to manage confidential information
  • Excellent communication skills and ability to collaborate with project managers and consultants
  • Accuracy in project-based and milestone billing
  • Financial visibility into project performance
  • Process discipline and documentation
  • Confidentiality and professionalism
  • Ability to thrive in a fast-paced, client-focused consulting environment
