Position Summary

The Program Coordinator, Marine provides administrative and operational support across the Marine Program portfolio, working closely with Marine Program Managers and cross-functional teams to ensure accurate program reporting, documentation control, action tracking, and portfolio visibility. This role serves as a key liaison between Engineering, Operations, Quality, Supply Chain, Contracts, and other stakeholders to support program execution and continuous improvement initiatives.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining data integrity, meeting deadlines, and supporting effective communication across the organization.

Responsibilities

  • Maintain program records, registers, schedules, action items, risk logs, and supporting documentation in accordance with company procedures.
  • Track action items, issues, risks, and commitments to ensure timely closure and escalation when necessary.
  • Collect, validate, reconcile, and maintain program data from functional teams to support accurate portfolio reporting.
  • Assist with preparation, review, and administration of program intake, charter, gate review, and closeout documentation.
  • Coordinate program reporting activities and maintain the recurring status update cycle across the Marine portfolio.
  • Prepare and distribute weekly, monthly, and ad hoc program metrics, reports, scorecards, and portfolio summaries.
  • Prepare meeting agendas, document meeting minutes, record action items, and communicate follow-up actions.
  • Support cross-functional coordination with Engineering, Production, Quality, Supply Chain, Contracts, and Finance.
  • Assist with data collection and analysis supporting capacity planning, workload assessments, performance metrics, and portfolio reviews.
  • Support process improvement initiatives by identifying opportunities to improve PMO tools, templates, reporting processes, and documentation practices.

Minimum Qualifications

  • Associate degree and a minimum of two (2) years of related experience; OR Bachelor's degree in Business, Engineering, Project Management, Engineering Management, OR related field; OR Equivalent combination of education and relevant experience.
  • Strong organizational, analytical, and communication skills.
  • Proficiency with Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Ability to manage multiple assignments while maintaining accuracy and attention to detail.
  • Must be US Citizen.

Preferred Qualifications

  • Experience in manufacturing, aerospace, defense, or marine industries.
  • Experience with government contracting requirements and reporting.
  • Knowledge of project scheduling, action tracking, and risk management processes.
  • Experience preparing reports, metrics, dashboards, and executive-level presentations.
  • Familiarity with document control and technical documentation practices.

Qualifications

  • Participate in special projects and strategic initiatives as assigned.
  • Support audits, compliance reviews, and internal process assessments.
  • Assist with onboarding and training related to PMO processes, tools, and reporting requirements.
  • Maintain confidentiality of business, customer, and program information.
  • Contribute to a culture of continuous improvement, collaboration, accountability, and customer focus.
  • Perform other duties as assigned in support of business and program objectives.
