Coordinator, Student Services (English)

The University of Arizona's Department of English invites you to apply to the role of Coordinator, Student Services. The Student Services Coordinator plays a critical role in supporting the administration and operations of both undergraduate and graduate programs within the English Department and the Writing Program. This position supports the full student lifecycle and serves as the primary contact for students, faculty, advisors, and program leadership to provide accurate information and guidance on admissions, funding, and degree requirements, and ensure high-quality student experience.

Duties & Responsibilities
- Student Services

  • Coordinate priority registration with guidance from Program Directors (PDs) and advisors, including temporary seat restrictions and course adjustments; update schedule and manage seat reservations and temporary restrictions for majors/minors and graduate students.
  • Working with Associate Head (AH), manage course enrollment each term, including setting and adjusting seat caps, monitoring enrollment in courses (including independent studies, internships, and practica).
  • Coordinate semester course scheduling for the English undergraduate and graduate courses, working with AH and PDs to fulfill faculty and instructor workloads and teaching assignments.
  • Submit and track course modifications, program additions, and general catalog changes via the UAccess Course Form system.
  • Coordinate defense scheduling, dissertation committee appointments, and provide graduation clearance.
  • Working with PDs and students, administer milestones and coordinate milestones (e.g. comprehensive exams, qualifying portfolios, end-of-degree projects and defenses). Coordinate scheduling, advisor and committee appointments, and graduation clearance.
  • Student Support
  • Be present and available to provide direct, in-person student support throughout the academic cycle, including during peak-volume and high-demand periods. Serves as the point of contact for English and writing program students, academic advisors, and program leadership, providing comprehensive support by responding to inquiries regarding registration, enrollment, and undergraduate and graduate program requirements, resolving or triaging concerns as appropriate, and redirecting complex issues to relevant leadership or campus partners to ensure timely and accurate resolution.
  • Working with department leadership, PDs, and faculty, maintain, and distribute graduate and undergraduate program communications, including compiling and publishing course descriptions, preparing course and event announcement materials (flyers, handouts, brochures), and coordinating website, posting, and listserv communications to ensure accurate, timely information for students, advisors, and campus partners.
  • Working with PDs, advise students on plans of study, petitions, and funding opportunities throughout the student lifecycle.
  • Recruitment, Outreach, and Admissions
  • Working with department leadership, PDs, and faculty, support and coordinate the planning of recruitment and engagement events for prospective and current undergraduate and graduate students and guest speakers, including planning and executing campus visits, orientations, information sessions, dissertation defenses, and program-specific academic programming (SCCP); coordinate logistics, materials, and schedules, collaborating with faculty and program leadership to engage prospective students and support recruitment goals.
  • Working with PDs and faculty, manage extra-curricular outreach programs and workshops (e.g. the Young Arizona Writers Workshop (YAWW)), including planning program logistics, assisting with application and registration processes, coordinating schedules, classroom space, and materials and serving as a point of contact to ensure a smooth and engaging program experience.
  • Awards and Financial Support
  • Working with PDs, faculty, and Dean's Office, coordinate the administration of undergraduate and graduate scholarships, awards, and honors programs by setting up and maintaining scholarship opportunities in Scholarship Universe, preparing and updating application…
