Coordinator, Student Services (English)

The University of Arizona's Department of English seeks a Coordinator, Student Services to support the administration and operations of undergraduate and graduate programs, providing guidance on admissions, funding, and degree requirements, and ensuring a high‑quality student experience.

Duties & Responsibilities

Student Services

  • Coordinate priority registration, including temporary seat restrictions and course adjustments; update schedules and manage seat reservations for majors/minors and graduate students.
  • Work with the Associate Head to manage enrollment each term, setting and adjusting seat caps and monitoring enrollment in courses, independent studies, internships, and practica.
  • Coordinate semester scheduling for English undergraduate and graduate courses, ensuring faculty workloads and teaching assignments are met.
  • Submit and track course modifications, program additions, and catalog changes via the UAccess Course Form system.
  • Coordinate defense scheduling, dissertation committee appointments, and provide graduation clearance.
  • Administer and coordinate student milestones (e.g., comprehensive exams, qualifying portfolios, end‑of‑degree projects and defenses).

Student Support

  • Provide direct, in‑person student support throughout the academic cycle, serving as the point of contact for students, advisors, and program leadership.
  • Manage and distribute program communications, including course descriptions, event materials, website postings, and listserv updates.
  • Advise students on plans of study, petitions, and funding opportunities across the student lifecycle.

Recruitment, Outreach, and Admissions

  • Support and coordinate recruitment and engagement events, including campus visits, orientations, information sessions, and program‑specific academics.
  • Manage outreach programs and workshops (e.g., Young Arizona Writers Workshop), coordinating logistics and serving as the point of contact.

Awards and Financial Support

  • Coordinate undergraduate and graduate scholarships, awards, and honors programs, managing application materials, selection processes, and award notifications.
  • Manage student funding processes, including Graduate Assistant appointments, fellowship nominations, GTS allocations, honoraria, and reimbursements.
  • Support financial operations and budgeting for the Writing Program, including PCard management and account reconciliation.

Data Analysis, Reporting and Tracking

  • Maintain student files, track degree progress, and monitor financial accounts for award or disbursement issues.
  • Manage department activity in the Taskstream assessment system.
  • Generate reports on enrollment patterns, student credit hours (SCH), and course demand for leadership decision‑making.

Knowledge, Skills, and Abilities

  • Knowledge of academic policies and procedures related to enrollment and registration.
  • Knowledge of FERPA and student privacy regulations.
  • Knowledge of enrollment metrics and reporting tools.
  • Knowledge of student information systems.
  • Knowledge of effective recruitment strategies.
  • Excellent written and verbal communication skills.
  • Significant attention to detail.
  • Familiarity with degree requirements and curriculum requirements.
  • Familiarity with financial administration principles.
  • Ability to analyze data and present information clearly.
  • Ability to identify trends and opportunities.
  • Ability to work independently and collaboratively.
  • Ability to adapt to changing priorities and institutional needs.
  • Ability to collaborate effectively with internal and external stakeholders.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
