Program Coordinator, 4-H Events

This entry-level professional position supports the delivery and basic development of Cooperative Extension programs in assigned focus areas such as agriculture, youth development (e.g., 4-H), natural resources, family and consumer sciences, or community development. The role performs routine program and curriculum support, data collection and analysis, reporting, and community outreach under the guidance of senior extension professionals and faculty. This position will specifically address priority needs at the state and national levels and will facilitate the logistics of 4-H events that provide opportunities that support youth from all backgrounds to develop into competent, confident, and caring individuals who contribute to their community and demonstrate the character to be a responsible citizen.

This role will focus on event logistics, registration, contracts, finances, and promotion of a wide array of all state level events. The Program Coordinator will implement the state level educational events and programs to include Arizona 4-H Summit, Clover Ball, J.O.L.T., Engaged Citizens Event, Emerging Leaders Event, and Arizona 4-H Stock Show & Expo. The Program Coordinator will be responsible for marketing, recruiting, and facilitating an in-bound international exchange program, facilitating the Arizona 4-H State Ambassador program.

The Program Coordinator will be responsible for supporting grant writing and implementation as well as implementing evaluation efforts. Must be able to work nights and weekends as needed during these events. Visa sponsorship is not available for this position.

Duties & Responsibilities
- Program and Curriculum Support:
Assist in adapting and implementing established extension educational programs and curricula, delivered through local extension offices, for assigned focus areas. Help organize topics, activities, and schedules for workshops and learning sessions based on existing research-based programs. Coordinate basic logistics (rooms, materials, equipment) to support effective program delivery.

Data Collection and Basic Analysis:
Conduct routine data collection activities, such as distributing surveys, recording attendance, and gathering simple outcome information from program participants. Enter and clean data in spreadsheets or databases and perform basic analysis (for example, summarizing counts, percentages, or simple trends). Use standard formats to compile findings into tables or charts to support program evaluation.

Reporting and Communication:
Assist with preparing standard reports, presentations, and summaries that describe extension program activities, participation, and basic results for internal and external stakeholders. Create simple slides, handouts, or visual aids for meetings with community partners and advisory groups. Maintain well-organized documentation so program history and results can be easily referenced.

Community Outreach and Relationship Support:
Support outreach efforts for extension programs by sharing information with community members, schools, and local organizations about offerings in assigned focus areas. Attend community events and meetings to help staff tables, answer straightforward questions, and refer more complex inquiries to senior staff. Help identify community resources, venues, and potential partners that can enhance program delivery.

Operations and Volunteer Support:
Support day-to-day operations for extension facilities, events, or markets in assigned focus areas, including scheduling space, monitoring supplies, and tracking basic resource use. Assist with recruiting, orienting, and providing basic instructions to volunteers and interns who contribute to extension programs. Help with simple marketing and promotion tasks, such as drafting short announcements or social media posts under supervision.

Knowledge,

Skills and Abilities

Basic knowledge of extension or community-based education principles and familiarity with research-based programming. Skill in organizing information, performing routine data analysis, and preparing standard reports or presentations. Ability to communicate clearly in writing and verbally with colleagues, community members, and partners who may not be familiar with technical topics. Ability to manage multiple tasks, follow established procedures, and seek guidance when encountering unfamiliar issues.
