SummaryThe Temporary Administrative Operations Manager ensures stable, organized, and efficient day-to-day operations at Mobile Meals of Southern Arizona (MMSA). This role provides onsite leadership, supervises a small administrative support staff, supports staff with technology and workflow systems, and strengthens internal operational structures during a defined transitional period. The ideal candidate brings strong organizational skills, excellent communication, nonprofit experience, and proficiency with Microsoft 365 tools, including MS Copilot.
Schedule:
Exempt role, expected to average ~30 hours/week, with additional hours as needed
- Serve as the primary onsite operational leader.
- Supervise a small administrative support staff, including the Program Coordinator and Volunteer Coordinator.
- Ensure staff complete daily duties on time and maintain consistent workflow.
- Review, reorganize, and standardize existing files, documentation, and office systems.
- Ensure digital files in SharePoint and One Drive are structured and up to date.
- Create or revise Standard Operating Procedures (SOPs).
- Take ownership of ongoing operational projects.
- Utilize Microsoft 365 tools including Teams, SharePoint, and MS Copilot.
- Maintain accurate program data and support reporting needs.
- Support grant-related documentation and internal compliance requirements.
- Oversee vendor communications and administrative logistics.
- 3–5 years of experience in office, administrative, or operations management within a nonprofit organization.
- Strong proficiency with Microsoft 365 and MS Copilot.
- Excellent organizational, communication, and problem-solving skills.
- Demonstrated ability to supervise a small administrative support team.
- Ability to work independently, prioritize effectively, and maintain strong follow-through.
- Experience with nonprofit funding streams and grants management.
- Strong understanding of nonprofit compliance, documentation expectations, and mission‑driven workflows.
This temporary position is authorized from March 15, 2026 through September 30, 2026. However, MMSA may end the role earlier if organizational needs change, including but not limited to internal restructuring, shifts in program operations, changes in funding, or reassignment of duties. MMSA will provide written notice in the event of early termination. All employment at MMSA is at-will.
