Kraemer North America is currently looking for an Administrative Assistant
to join our team in our Mountain West Region - WA area, based out of our Tukwila, WA location. The Administrative Assistant performs various accounting and clerical duties and assists project management in maintaining efficient job site and office operations while providing customer assistance. This role performs accounting tasks, file and record maintenance, payroll preparation, report preparation, estimating support, new hire paperwork, and other clerical duties as assigned.

The Administrative Assistant also assists project management with basic office administrative support, including office organization and meeting coordination.

Responsibilities
  • Coordinate basic office activities, including arranging meetings and maintaining an organized office environment
  • Process routine paperwork, including invoices, submittals, and related documentation
  • Monitor office supply inventory and place orders as needed
  • Distribute pertinent information to project management
  • Process new hire orientations and training
  • Establish and maintain files in accordance with KNA filing protocols, as directed by the supervisor, for payroll, accounts payable, general accounting documents, and job site filing systems
  • Perform miscellaneous clerical duties, including word processing, copying and collating submittals, subcontractor and vendor correspondence, and customer service support
  • Assist estimators in all aspects of the estimating process, including vendor solicitation and bid document preparation and distribution
  • Assist in monitoring job site safety issues
  • Assist foremen and superintendents with field-related administrative issues
  • Assist project managers with labor union notifications and communications
  • Prepare plans and documentation for submittal to the project owner
  • Resolve discrepancies on invoices or reports by coordinating with other departments, vendors, contractors, and clients
  • Assist with final project closeout activities
  • Work closely with the IT Department to ensure access to information
Qualifications
  • Two years of construction industry accounting and clerical experience preferred
  • Knowledge of general office procedures
  • Experience using Microsoft Office Suite, Viewpoint, and web-based tools
  • Strong decision-making and problem-solving skills
  • Ability to communicate and interact effectively with others
  • Demonstrated leadership skills
  • Ability to manage multiple priorities; flexibility in performing tasks
  • Detail oriented
  • Ability to remain on task with numerous interruptions

Hiring Range

$55,000 - $80,000. Compensation is dependent on multiple factors: education, experience, skills, market rates, internal equity and/or location.
