Overview
King County Housing Authority (KCHA) seeks an Administrative Specialist to support the Housing Choice Voucher Program (HCVP) in Tukwila, WA. The role provides high‑level administrative support to program leadership, coordinates key operations for voucher participants, and ensures compliance with program requirements.
Responsibilities- Coordinate logistics, provide customer service, and manage incoming communications (phone calls, email, mail).
- Draft and respond to complex correspondence, schedule meetings, and record meeting notes.
- Conduct data entry and support records production and management activities.
- Provide high‑level administrative support to department leadership and coordinate office operations.
- Maintain internal‑facing websites and support implementation and tracking of departmental regulations, policies, and procedures.
- Review procurement and consultant contracts for accuracy and compliance with agency policy prior to leadership approval.
- Purchase and maintain office supplies to support departmental needs.
- Review invoices, ensure documentation is complete, obtain approvals, and submit for payment processing.
- Produce reports, including research and analysis on partner organizations, peer housing authorities, and regional and national HCV trends.
- Support special projects and initiatives that address complex operational needs within the HCV department.
- Associate’s degree.
- Moderate (1–3 years) experience providing progressively responsible administrative support of confidential nature, or an equivalent combination of experience and education.
- General knowledge of Housing Choice Voucher programs, including applicable rules, regulations, and eligibility requirements.
- Knowledge of standard administrative procedures and office operations, accurate record‑keeping, data entry, and database systems.
- Strong organizational skills with the ability to prioritize, track progress, and meet deadlines while ensuring accuracy.
- Ability to analyze information and exercise sound judgment when making decisions.
- Advanced proficiency with computers and software applications, including Microsoft Office.
- Strong verbal and written communication skills and the ability to convey information clearly.
- Ability to establish and maintain effective working relationships with colleagues, stakeholders, and the public.
- Ability to work effectively and positively with individuals of diverse cultural and socioeconomic backgrounds.
- Use of tact, discretion, and diplomacy when dealing with sensitive or confidential information.
