PositionSummary
The Accounting Clerk supports the accounting department by handling daily accounting transactions, data entry, and basic financial analysis for multiple not‑for‑profit organizations. Responsibilities include accounts payable, accounts receivable, cash receipts, journal entries, bank reconciliations, and assistance with month‑end and year‑end closes.
Essential Duties and Responsibilities Data Entry and Record Keeping- Input financial data into accounting software accurately.
- Maintain organized, up‑to‑date financial records and files.
- Assist in preparing accounts payable and accounts receivable reports and statements.
- Process invoices for payment, obtain necessary approvals, and code to the correct entity and general‑ledger accounts.
- Enter vendor information and invoice details into accounting software to prepare payables.
- Export queries for reporting and transfer purposes.
- Prepare checks and electronic payments, and process positive‑pay uploads.
- Assist in filing 1099s, audits, and other tax filings.
- Monitor email inboxes for affiliated non‑profit entities, respond to inquiries, and route correspondence to appropriate staff.
- Perform TIN matches on all vendor W‑9s and maintain records in accordance with company policy.
- Ensure IRS compliance with TIN‑matching requirements and follow up on missing documentation.
- Assist in recording and depositing non‑contribution checks as needed.
- Verify supporting documentation for each transaction.
- Ensure proper coding to entities and general‑ledger accounts.
- Confirm required approvals per company policy.
- Identify and resolve discrepancies or policy violations.
- Ensure compliance practices align with internal control policies.
- Generate and distribute informational reports as required.
- Assist the Supervisor and Controller with monthly and year‑end closing, including Form 1099 filings.
- Support annual audit preparation.
- Manage departmental mail distribution.
- Monitor the TCF accounting inbox and route correspondence as needed.
- Assist with special projects and tasks as assigned.
- Bachelor’s degree in accounting and/or finance.
- At least 2 years of recent accounts payable and/or bookkeeping experience.
- Experience in not‑for‑profit organizations is preferred.
- Proficient with Microsoft Office (Excel, basic formulas).
- Experience with Quick Books, Raiser’s Edge, Financial Edge (preferred),
- Excellent attention to detail and data accuracy.
- Strong organization and time‑management skills.

- Ability to maintain confidentiality in financial matters.
- Strong interpersonal skills and commitment to excellent customer service.

- Ability to sit at a computer monitor for multiple hours at a time.
- Position is based at 7030 S. Yale Ave., Suite 600, Tulsa, Oklahoma 74136.
- Typical work week is Monday‑Friday 8:00 a.m. – 5:00 p.m., with occasional evening or weekend hours for special events.
- Domestic travel is required on occasion.
- In‑person meetings must be attended.
