Position SummaryThe Training Coordinator provides comprehensive logistical, operational, and participant-support coordination for NRCYS training programs and events. This role ensures trainings run smoothly from planning through closeout by managing scheduling, materials, venue arrangements, participant progress, communication, and data tracking. The Training Coordinator collaborates with NRCYS units, trainers, vendors, and participants to support state and national initiatives in alignment with the NRCYS mission.
EssentialDuties
- Event & Training Logistics:
Coordinate logistical needs for events, including scheduling, reserving/contracting sites, room setup, equipment setup, and material preparation. - Registration Management:
Manage registrations, enrollments, rosters, and waitlists. - Inventory & Material Management:
Oversee inventory, storage, transportation, and care of all training materials, equipment, and supplies. - Participant Progression & Closeout:
Track participant attendance and prework completion; review and secure approvals for participant accommodations; complete closeout tasks (final rosters, CEUs when applicable, reports, invoice processing, and evaluations). - Communication &
Collaboration:
Communicate with NRCYS units, vendors, customers, and University departments on logistics and participant needs; serve as point of contact for trainers and participants regarding enrollment, prework, and attendance needs. - Meetings & Internal Support:
Plan and attend internal and external meetings (NRCYS staff meetings, project meetings, University meetings). - Data & Documentation Management:
Compile and maintain training, registration, and evaluation data; maintain spreadsheets, correspondence, and project documentation. - Travel:
Regular local travel is required frequently; most days are not spent in the office, but at various training sites; statewide travel is required occasionally. - Commitment to Vision, Mission, Values, and Core Principles:
Uphold, safeguard, and engage in activities to support the University, Outreach, and NRCYS.
Required
Education and Experience:
- Bachelor’s degree in a related field, AND:
- 6 months of related experience.
Substitution: 48 months of related experience for a degree (54 months total).
Required Skills and Proficiencies- Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint, Teams) and Adobe.
- Effective communication and listening skills.
- Detail-oriented for accuracy of data and information.
- Highly organized and able to handle multiple projects and deadlines.
Preferred Experience
- Experience supporting training programs, conferences, workshops, or large-scale events.
- Experience coordinating logistics such as registration, scheduling, travel, room setup, and materials management.
- Experience working in an educational, nonprofit, child-welfare, or human-services setting.
- Experience working with vendors, trainers, or contracted service providers.
- Experience maintaining program, evaluation, or training data.
- Strong proficiency in Microsoft Excel, including formulas, sorting, filtering, and data validation.
- Skill in document formatting and layout in Microsoft Word and Adobe PDF tools.
- Ability to communicate effectively with participants, trainers, internal teams, and external partners.
- Strong customer-service skills, especially in responding to participant needs or troubleshooting issues.
- Ability to work independently while collaborating across functional units.
This position has no supervisory duties.
