Job Summary

Administrative Support Specialist provides essential operational and clerical support to ensure efficient daily office operations. This role serves as a key point of contact for internal teams, clients, and vendors, requiring strong communication, organization, and multitasking skills. The ideal candidate demonstrates professionalism, attention to detail, and the ability to support a fast‑paced office environment.

Job Title: Administrative Support

Pay: $20/hour

Location: Tulsa, OK

Contract-to-hire: Yes

Key Responsibilities
  • Serve as front desk and reception point of contact, maintaining a professional presence and courteous telephone etiquette
  • Answer and route incoming calls, greet visitors, and respond to general inquiries
  • Sort, distribute, and manage incoming and outgoing mail on a daily basis
  • Prepare, proofread, and send correspondence to tenants, vendors, owners, and internal stakeholders
  • Maintain organized filing systems (electronic and physical)
  • Order, track, and stock office supplies as needed
  • Provide administrative and clerical support to management and team members
  • Assist with scheduling, data entry, and document preparation
  • Support special projects and team initiatives as assigned
Required

Skills & Qualifications
  • Strong communication, organizational, and time‑management skills
  • Excellent typing, grammar, writing, and proofreading abilities
  • Professional demeanor with a polished phone and in‑person presence
  • Proficiency in Microsoft Office and general office technology
  • Ability to manage multiple priorities with accuracy and discretion
  • Team‑oriented mindset with the ability to work independently
Preferred Qualifications
  • 2+ years of previous administrative, receptionist, or office support experience
  • Experience supporting property management, corporate, or professional office environments
  • Familiarity with correspondence related to insurance, vendors, or tenants
