The Executive Administrative Assistant will serve as a key operational support role throughout the organization by coordinating executive workflow, assisting with physician scheduling and time-off management, streamlining administrative processes, and supporting a variety of organizational initiatives and projects.
Essential Duties and Responsibilities
- Provide comprehensive administrative support to executive leadership and physician teams
- Coordinate and maintain complex calendars, meetings, appointments, and organizational schedules
- Manage physician on-call schedules, time-off requests, and related scheduling coordination
- Prepare meeting agendas, reports, presentations, spreadsheets, and supporting materials
- Maintain professional communication and contact management with internal and external stakeholders
- Assist leadership with prioritization of projects, deadlines, and workflow management
- Participate in organizational projects and operational initiatives across departments
- Identify opportunities to improve administrative efficiency and help streamline processes through technology and automation
- Coordinate confidential information and sensitive matters with professionalism and discretion
- Assist with tracking projects, action items, and follow-up communication to ensure timely completion
- Support executive and physician teams with day-to-day operational needs throughout the organization
- High school diploma or equivalent required
- Associate degree in Technical Writing, Business Administration, Healthcare Administration, or related field preferred
- Minimum of five (5) years of executive-level administrative support experience required
- Previous experience supporting executive operations within the healthcare industry preferred
- Strong organizational, multitasking, and time management skills
- Exceptional written and verbal communication abilities
- Advanced proficiency in Microsoft Office applications and general technology platforms
- Must be highly tech savvy with the ability to quickly learn and adapt to new systems and software
- Ability to work independently while exercising critical thinking and sound decision-making skills
- Demonstrated ability to handle confidential information with discretion and professionalism
- Self-motivated and proactive with the ability to anticipate needs before they arise
- Strong attention to detail and accuracy
- Professional demeanor with excellent interpersonal skills
- Ability to remain calm and organized in a fast-paced healthcare environment
- Process-improvement mindset with a willingness to help modernize and streamline workflows
Compensation is competitive and commensurate with experience, qualifications, and other relevant factors.
