Overview

New Horizons Legal is a growing Tulsa law firm serving clients in immigration, business, and civil litigation matters, with a commitment to public interest legal services. We are seeking a friendly, organized, and dependable Part-Time Receptionist / Administrative Assistant to help serve as a first point of contact for clients and support the firm’s daily office operations. This position is a good fit for someone who enjoys helping people, communicates professionally, stays organized, and is comfortable working with clients from diverse backgrounds.

Responsibilities
  • Assist with client communication and administrative support, including:
  • Answering incoming phone calls professionally and directing calls as needed
  • Scheduling consultations, appointments, and follow-ups
  • Responding to basic client inquiries and taking detailed messages
  • Monitoring voicemail and helping ensure timely follow-up
  • Receiving, sorting, scanning, and organizing incoming mail
  • Preparing outgoing mailings and packages
  • Delivering mail to the post office as needed
  • Printing, copying, scanning, and assembling legal documents
  • Maintaining electronic and paper files
  • Assisting with client intake and administrative projects
  • Supporting attorneys and staff with administrative tasks
  • Helping keep the office organized, welcoming, and professional
Qualifications
  • A friendly and professional phone demeanor
  • Strong customer service and communication skills
  • Excellent organizational skills and attention to detail
  • The ability to handle confidential information with professionalism and discretion
  • Basic computer skills, including Microsoft Office and Google Workspace
  • Reliable transportation
  • The ability to work independently and manage multiple priorities
Preferred, But Not Required

Previous experience in a law firm, medical office, nonprofit organization, reception desk, customer service role, or administrative position is helpful, but not required. We are willing to train the right person.

Languages

Bilingual and multilingual applicants are strongly encouraged to apply. Language skills are especially valuable in serving our client community. Preference may be given to candidates who speak:

  • Spanish
  • Arabic
  • Russian
  • Ukrainian
  • Other languages commonly spoken by immigrant communities
