The ideal candidate will have prior experience working in a law firm or professional office environment and possess strong organizational, communication, and multitasking skills. The successful candidate must be dependable, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced office setting.

Key Responsibilities Front Desk & Client Service
  • Answer and direct incoming phone calls.
  • Provide front desk coverage and assist with general office inquiries.
Administrative Support
  • Create and organize notebooks and binders for hearings, depositions, and trials.
  • Process incoming electronic faxes, court filings, and mail in a timely manner.
  • Generate and distribute reports, calendars, and firm communications.
Office Operations
  • Monitor and maintain office supply and refreshment inventories.
  • Coordinate ordering of office supplies, food, and other office needs.
  • Schedule travel arrangements and coordinate with travel vendors.
  • Maintain office equipment, including printers, scanners, and postage equipment.
  • Perform approved office errands and assist with office organization projects.
Facilities & Office Maintenance
  • Keep kitchen, coffee bar, and common areas stocked and organized.
  • Assist with maintaining a clean and professional office environment.
  • Assist with office decorations and special event setup.
Qualifications
  • Prior law firm experience strongly preferred.
  • Minimum of 2 years of administrative, receptionist, or office support experience.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to learn and utilize office technology, case management software, and document management systems.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Dependable, self-motivated, and able to work independently.
