Key Responsibilities:
• Coordinate and manage office operations, ensuring an organized, efficient, and welcoming environment for staff, clients, and visitors
• Support meetings and events by scheduling, preparing materials, arranging logistics, and maintaining accurate meeting minutes
• Deliver exceptional customer service by greeting visitors, answering calls, and communicating clearly with clients, colleagues, and stakeholders
• Maintain and update office records, databases, and resource materials to ensure accuracy and accessibility
• Perform general administrative duties such as filing, typing, mailing, and organizing documents and correspondence
• Manage office calendars, coordinate meeting spaces, and arrange equipment and refreshments as needed
• Assist with data entry, reporting, and record keeping to support program and operational needs
• Order and manage office supplies, oversee equipment maintenance, and support overall office upkeep
• Process invoices, maintain financial records, and assist with accounting-related tasks as applicable
• Ensure compliance with HIPAA and confidentiality standards in all aspects of work
Education, Experience, and/or Credential
Qualifications:
• High school diploma or equivalent required
• Associate's or bachelor's degree in a related field such as human resources or social services preferred
• 1-3 years of administrative, clerical, or office support experience preferred
• Proficiency in computer systems including Microsoft Office (Word, Excel), databases, email platforms, and internet applications
• Strong mathematical and analytical skills, including ability to perform basic calculations accurately
• Ability to read, interpret, and apply policies, procedures, and operational guidelines
Additional Qualifications:
• Valid driver's license, acceptable driving record, and current auto insurance required
• Strong customer service skills with the ability to interact professionally with diverse populations
• Excellent verbal and written communication skills
• Ability to problem-solve and apply logical thinking in structured situations
• Ability to work both independently and collaboratively in a team environment
• Successful completion of background screenings including criminal, driving, abuse/neglect, and fingerprint checks required
