Position: Front Desk Lead – Tulsa Location

We are seeking a dynamic and organized Front Desk Lead to serve as the welcoming face of our organization. In this vital role, you will oversee front desk operations, manage multi-line phone systems, and ensure smooth office management. Your enthusiasm, exceptional customer service skills, and ability to coordinate administrative tasks will help create a positive environment for visitors and staff alike.

Responsibilities
  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and providing accurate information
  • Oversee daily office operations, including scheduling appointments and managing calendars
  • Handle clerical duties such as data entry, filing, proofreading, and maintaining accurate records
  • Support administrative functions using Microsoft Office, Google Workspace, Quick Books, and other computer tools
  • Assist with bookkeeping tasks and basic bookkeeping using Quick Books or similar software
  • Maintain organized filing systems and ensure all documentation is up-to-date and accessible
  • Provide excellent customer support by addressing inquiries with professionalism and courtesy
  • Coordinate office supplies inventory and place orders as needed to ensure smooth operations
  • Support personal assistant duties such as calendar management and appointment scheduling
  • Uphold phone etiquette standards while managing incoming calls with efficiency and clarity
Qualifications
  • Proven experience in front desk or office management roles with clerical or administrative responsibilities
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette
  • Prior experience handling multi-line phone systems and managing office operations is preferred
  • Demonstrated ability to proofread documents accurately and maintain attention to detail
  • Personal assistant or calendar management experience is a plus
  • Ability to work independently while supporting team objectives with quick thinking and adaptabilit
