The Administrative Assistant plays a vital role in ensuring the office operates smoothly and efficiently. This position manages day-to-day administrative functions, supports staff and leadership, coordinates meetings and communication, maintains accurate records, and delivers a welcoming experience for all visitors and callers. Key Responsibilities:

Coordinate and manage office operations, ensuring an organized, efficient, and welcoming environment for staff, clients, and visitors

Support meetings and events by scheduling, preparing materials, arranging logistics, and maintaining accurate meeting minutes

Deliver exceptional customer service by greeting visitors, answering calls, and communicating clearly with clients, colleagues, and stakeholders

Maintain and update office records, databases, and resource materials to ensure accuracy and accessibility

Perform general administrative duties such as filing, typing, mailing, and organizing documents and correspondence

Manage office calendars, coordinate meeting spaces, and arrange equipment and refreshments as needed

Assist with data entry, reporting, and record keeping to support program and operational needs

Order and manage office supplies, oversee equipment maintenance, and support overall office upkeep

Process invoices, maintain financial records, and assist with accounting-related tasks as applicable

Ensure compliance with HIPAA and confidentiality standards in all aspects of work Education, Experience, and/or Credential

Qualifications:

High school diploma or equivalent required

Associate’s or bachelor’s degree in a related field such as human resources or social services preferred1–3 years of administrative, clerical, or office support experience preferred

Proficiency in computer systems including Microsoft Office (Word, Excel), databases, email platforms, and internet applications

Strong mathematical and analytical skills, including ability to perform basic calculations accurately

Ability to read, interpret, and apply policies, procedures, and operational guidelines

Additional Qualifications:

Valid driver’s license, acceptable driving record, and current auto insurance required

Strong customer service skills with the ability to interact professionally with diverse populations

Excellent verbal and written communication skills

Ability to problem-solve and apply logical thinking in structured situations

Ability to work both independently and collaboratively in a team environment

Successful completion of background screenings including criminal, driving, abuse/neglect, and fingerprint checks required

Physical Requirements Perform primarily sedentary work, including extended periods of sitting

Occasionally lift, carry, push, or pull up to 10 pounds
