Description

Position: Office Manager

FLSA: Hourly/Non-Exempt

Location: Tulsa, OK,

5705 E 71st St, Suite 220, Tulsa, OK

Hours: Monday-Friday, 8am to 5pm

General

Purpose:

To provide a high level of support for Business operations.

Supervision Received: Works under the direct supervision of the Director of Tulsa Operations.

Supervision Exercised: NONE

Essential Duties and Responsibilities:

  • Maintain day-to-day office and clerical tasks
  • Answer incoming calls and assist office visitors
  • Sign for deliveries
  • Assist with communication between corporate office and Tulsa office
  • Responsible for picking up, sorting, and distributing mail as needed
  • Responsible for sorting, and distributing checks as needed
  • Responsible for keeping office area clean and maintaining plants
  • Responsible for inventory and maintenance of technology devices and equipment (phones, printers, lap tops, computers).
  • Trouble shooting of computers and equipment.
  • Maintain confidentiality of office practices
  • Perform general clerical duties
  • Compose documents and letters
  • Fax, email, or mail correspondence
  • Order office supply and construction/warranty equipment for all Tulsa departments
  • Assist marketing department in various capacities (business card orders, meeting media, billboard requests, signage orders)
  • Manage construction, warranty, and staff meetings and take notes
  • Coordinating training and events for staff meetings
  • Coordinating training and events for construction meetings
  • Schedule appointments for managing partner
  • Maintain calendar for managing partner
  • Set up contractors in the system
  • Assist accounting in invoice follow up, missing checks or vendor payment questions
  • Scan house files for archival purposes
  • Scan, organize and maintain office files.
  • Assist Human Resources with tasks related to orientation and compliance.
  • Assists in other duties as directed
Requirements

Minimum Qualifications: GED/High school diploma

Associates or higher degree in Construction, Business Administration or related subject is preferred

1+ years of administrative experience preferred

1+ years of manager/leadership experience preferred

Associates or higher degree in Construction, Business Administration or related subject is preferred

Knowledge, Skills, and Ability :

  • Knowledge of general office practices
  • Knowledge of MS Office (Word, Excell, Outlook & PowerPoint)
  • Google Suite
  • Experience with office machines (fax machines, phones, printers)
  • Experience with Human Resources compliance
  • Ability to establish priorities
  • Ability to work in a fast
    -paced environment
  • Ability to interact with variety of personalities
  • Ability to answer a multi-line telephone system
  • Ability to work independently
  • Ability to communicate professionally
  • Good time management skills

Work Environment: Office environment. The noise level is moderately quiet.

Physical Demands : Occasionally required to sit and use their fingers, to handle or feel. Occasionally required to stand, walk, reach with arms and hands, and to stoop or kneel. Must be able to carry equipment up to 30 lbs. Reasonable Accommodations may be made to enable individuals with disabilities to perform the essential functions of the job.

Tool and Equipment: Computer, telephone, and General office equipment.
