The Front Desk Receptionist serves as the first point of contact for clients, visitors, and vendors, creating a welcoming and professional experience. This position is responsible for maintaining the front desk, greeting guests, managing incoming deliveries, and providing administrative support to office staff. The Receptionist also provides occasional administrative assistance to the Vacation Advisor team to support daily operations.
Essential Duties and Responsibilities- Welcome clients, visitors, vendors, and other guests in a friendly and professional manner.
- Maintain a clean, organized, and welcoming reception area.
- Receive, sort, and distribute incoming mail and packages.
- Prepare outgoing mail and coordinate shipping as needed.
- Assist the Executive Assistant with administrative tasks, special projects, and office coordination.
- Provide occasional administrative support to Vacation Advisors, including preparing documents, assembling travel materials, organizing client information, and other clerical tasks.
- Maintain office supply inventory and notify the Executive Assistant when supplies need to be reordered.
- Assist with meeting room setup and general office readiness.
- Perform filing, scanning, copying, and other clerical duties.
- Maintain confidentiality of company and client information.
- Perform other duties as assigned to support the needs of the business.
- Assist in preparation for client events.
- High school diploma or equivalent required.
- Previous receptionist, customer service, or administrative experience preferred.
- Strong interpersonal and customer service skills.
- Excellent organizational and time management abilities.
- Strong attention to detail and ability to manage multiple priorities.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Ability to work independently while collaborating effectively with team members.
- Ability to sit, stand, and walk throughout the workday.
- Ability to occasionally lift and carry up to 25 pounds.
This position works in a professional travel agency office environment with frequent interaction with clients, visitors, and employees. The role requires a positive, service-oriented attitude and a willingness to support multiple departments as business needs require.
