Role

Description:

Best & Sharp Inc is seeking a Medical Records Clerk to join our team. This is a full-time, Monday through Friday 8 am to 5 pm, on-site position located in Tulsa, OK. This role focuses on managing and organizing medical records requests related to civil defense cases. The position requires consistent attention to detail, timely follow-through on record requests, and close collaboration with legal teams to support case preparation and trial readiness.

Daily tasks include, but are not limited to:

  • Request medical records from providers and third-party records retrieval vendors.
  • Process incoming medical records and make them accessible to the paralegal and attorney for review and analysis.
  • Follow up as needed on medical records requests to ensure they are received in a timely manner.
  • Collect invoices for records submit to accounting for payment.
  • Create and update trial notebooks for attorneys to use in preparation of litigation.
  • Follow established procedures to protect confidentiality and comply with privacy regulations.

Qualifications

  • Prior experience in a medical records, health information, or legal office environment is preferred but not required.
  • Strong communication skills to interact professionally with medical providers, clients, and internal legal staff.
  • Solid clerical skills, including data entry, filing, document scanning, and maintaining organized digital and physical records.
  • Ability to handle confidential information with discretion and comply with privacy laws and firm policies.
  • High attention to detail, strong organizational skills, and the ability to manage multiple record requests and deadlines simultaneously.
  • Proficiency with basic office software (e.g., Microsoft Office, document management systems) and willingness to learn firm-specific applications.
  • High school diploma or equivalent required; additional coursework or certification in health information management or a related field is a plus.
