Customer Service & Order Management Administrator

Location: Tulsa, OK 74119

Pay Rate: $23.00/hour

Duration: 6-Month Contract

Job Overview

We are seeking a detail-oriented and customer-focused Customer Service & Order Management Administrator to join our team in Tulsa, OK. In this role, you will be responsible for managing customer orders, coordinating with internal departments, supporting billing processes, and ensuring exceptional service for both internal and external customers. This position requires strong communication skills, the ability to multitask in a fast-paced environment, and a commitment to delivering outstanding customer service.

Key Responsibilities Customer Service & Order Management
  • Provide exceptional customer service through frequent phone and email communication with internal teams and direct customers.
  • Enter and process customer orders accurately and efficiently.
  • Generate customer quotes and provide order status updates.
  • Research and resolve order inquiries and customer concerns.
  • Communicate delays and late-order notifications to customers and regional teams.
  • Handle rush orders and prioritize urgent customer needs.
  • Submit requests for part number creation and product/material extensions.
  • Create orders for direct customers and review regional orders.
  • Process orders for timely billing after production completion and shipment.
  • Schedule production orders and coordinate deliveries.
  • Review and manage sales orders.
  • Run and analyze open order reports in ZOTCM.
  • Edit orders as requested and ensure accurate documentation.
  • Scan delivery documentation for imaging and recordkeeping.
Coordination & Reporting
  • Collaborate closely with production, shipping/receiving, gas coordinators, and other departments to ensure customer expectations are met.
  • Maintain and update RAN logs.
  • Review ZLDB reports and report discrepancies or issues.
  • Communicate operational concerns and production capability issues to Plant Management.
Administrative Support
  • Log customer complaints into Intelex.
  • Submit credit requests when needed.
  • Maintain local files according to record retention policies.
  • Provide backup support within the department.
  • Assist with international orders as required.
  • Travel occasionally for training and meetings.
Required Qualifications
  • Strong customer service orientation with a demonstrated ability to build positive relationships.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and the ability to professionally handle challenging situations.
  • Exceptional analytical and problem-solving abilities.
  • Ability to work independently while also thriving in a team environment.
  • Strong organizational skills and the ability to manage multiple deadlines.
  • Ability to adjust communication styles based on customer needs and situations.
  • Positive attitude, adaptability, and willingness to learn.
  • Proficiency with Microsoft Office applications, including:
  • Microsoft Word
  • Microsoft Excel
  • Outlook/Kite
  • Comfortable adapting to procedural and process changes.
Preferred Experience
  • Previous experience in customer service, order management, order entry, billing, logistics coordination, or administrative support.
  • Experience working in a manufacturing, distribution, or industrial environment is a plus.
  • Familiarity with ERP systems and reporting tools is preferred.
