Job SummaryThe Infusion Scheduler schedules new and continuing chemotherapy and non-chemotherapy infusions, treatments, and injections for infusion therapy patients. This role obtains proper pre-certification and authorization documentation by gathering patient and procedure information for the registration and billing processes ensuring a seamless patient care experience.
Minimum EducationHigh School diploma or GED.
Licensure, Registration and/or CertificationNone.
Work ExperienceMinimum 1 year of scheduling experience in a healthcare environment. Experience with in an oncology setting, preferred.
Knowledge, Skills, and AbilitiesAdvanced knowledge of the varying chemotherapy and non-chemotherapy treatment plans. Working knowledge of insurance plans and medical terminology. Good computer and telephone support skills including the ability to answer a multi-line phone system. Excellent oral and written communication skills. Outstanding customer service skills with the ability to resolve issues calmly and professionally. Proven ability to work independently and collaboratively in a fast-paced environment, managing multiple priorities.
Ability to maintain professional and courteous composure during highly stressful and fast-paced situations.
Schedules all cycles of chemotherapy infusions and related appointments in the electronic medical record (EMR) system in accordance with departmental procedures and protocols; notifying appropriate team members of scheduling changes or cancellations. Manages a multi-line phone system with a high volume of incoming calls; guaranteeing a positive patient experience by handling calls and other methods of communication effectively and efficiently. Obtains current patient demographics, insurance, and referrals to ensure pre-authorization approvals and optimal reimbursement payments are acquired.
Collaborates with other system departments for joint scheduling and to coordinate appointment times to provide an ideal patient care experience. Confirms the accuracy and completion of the provider’s orders in relation to the appointment type and length for compliance standards and medical necessity; communicating discrepancies, as needed. Reviews work queues to assess clinical urgency of treatments, verifying the accuracy of treatment orders, and ensuring follow-up appointments are accurately scheduled.
Facilitates effective communication and coordination with patients, caregivers, healthcare professionals, pre-authorization, and financial aid team members to adjust scheduling needs based on individual treatment or therapy plans in order to provide the best patient care.
Independent judgement in making minor decisions where alternatives are limited and standard policies/protocols have been established.
Working RelationshipsWorks directly with patients and/or customers. Works with internal and/or external customers via telephone or face to face interaction. Works with other healthcare professionals and staff.
