The RoleThe Patient Services Representative is the first face our patients see and the first voice they hear, and that moment matters more than most. This is a part-time position based at our Tulsa, OK location. We are looking for someone who brings professionalism to patient-facing work and understands that in a fertility clinic, warmth and composure are not just nice to have, they are part of the care.
ScheduleThis position is part-time, about 29 hours per week, working 8:00 a.m. to 2:00 p.m., Monday through Thursday, and 8:00 a.m. to 1:00 p.m. on Fridays. No nights, no rotating shifts.

What You’ll Do- Greet and check in patients with warmth and professionalism
- Collect service payments and reconcile daily transactions
- Manage incoming calls and route them accurately to the right teams, prioritizing by urgency
- Guide patients through clinic policies and assist with required forms
- Verify and document insurance benefits and coverage in patient charts
- Log all interactions accurately in the electronic health record (EHR)
- Coordinate with care teams on schedule changes and patient flow
- Handle filing, scanning, and faxing to support clinic operations
- Uphold HIPAA regulations and maintain strict patient confidentiality
- Demonstrated experience delivering exceptional customer service in a professional setting; healthcare or clinical front desk experience is a plus but not required
- Bilingual in English and Spanish is highly valued
- Comfort managing competing priorities in a fast-paced clinical environment
- The ability to make patients feel heard and at ease, even when they are stressed or scared
- Proficiency with EHR systems or a demonstrated ability to learn software quickly
- Familiarity with insurance verification and clinic procedures is a plus; we provide training
- High school diploma required; associate or bachelor's degree preferred
