Comfort Keepers is seeking an organized, people-focused HR & Administrative Operations Coordinator to support our Tulsa office. As a key member of our team, you'll support human resources, onboarding, office operations, compliance, and administrative functions that help ensure exceptional care for our clients and an outstanding experience for our caregivers.

What You'll Do Human Resources Support- Assist the HR Generalist with coordinating interviews for caregiver and office positions
- Conduct background checks and employment verifications
- Follow up on pre-hire requirements and onboarding tasks to ensure a smooth hiring experience
- Assist with new hire onboarding, orientation, and training coordination
- Maintain employee records, certifications, training, and compliance documentation
- Respond to employee questions and elevate issues as appropriate
- Assist with disciplinary documentation and employee relations matters
- Help ensure compliance with federal, state, and local employment regulations
- Serve as the first point of contact for phone calls, visitors, and general inquiries
- Manage daily office operations and administrative workflows
- Maintain office supplies, equipment, and organization
- Perform filing, scanning, document management, and shipping
- Maintain confidential client and caregiver files in accordance with HIPAA standards
- Assist with scheduling coordination and other office support as needed
- Support licensing requirements, audits, and compliance initiatives
- Provide administrative and project support to the leadership team
- Assist with special projects and process improvement initiatives
- Support community outreach and marketing efforts when needed
- Help improve operational efficiency across the office
Required Qualifications
- Experience in Human Resources, onboarding, recruiting support, office administration, or a related field
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- High attention to detail and ability to maintain confidentiality
- Strong time management and problem-solving abilities
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to quickly learn new software and systems
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or a related field
- Knowledge of HR practices and employment laws
- Experience working in healthcare or home care
- Experience with HRIS or scheduling software
This position involves primarily sedentary work, including extended periods of sitting, typing, and using standard office equipment. Occasional standing, walking, and lifting of up to 20 pounds may be required.
