Office Administrator/ Coordinator
Eden Village of Tulsa is a 4 year old nonprofit permanent supportive housing community working toward a Tulsa where no one sleeps outside. Located on 17 acres in northwest Tulsa, Eden Village provides safe, dignified housing and a strong support system for people who have experienced chronic homelessness. The community includes 63 tiny homes, a community center, greenhouse, and our Restoration Farm, supported by staff, volunteers, service providers, churches, foundations, businesses, and community partners.
PositionSummary
The Office Manager plays a central role in keeping Eden Village of Tulsa organized, responsive, and effective. This position supports daily operations, financial administration, donor and volunteer engagement, communications, and coordination with staff, residents, service providers, and community partners. The ideal candidate is highly organized, detail- oriented, flexible, professional, and motivated by a heart for serving people who have experienced homelessness.
Key Responsibilities- Maintain accurate financial records, including bill payments, invoicing, coordination with the accountant, and other financial tasks using Quick Books Online.
- Manage donor information and support donor appreciation, engagement, and growth using our new donor platform, either Bloomerang or Neon One.
- Coordinate prompt, professional phone and email communications.
- Support volunteer management, scheduling, engagement, recognition, and coordination so volunteers are used effectively and feel valued, using our new volunteer management platform.
- Assist with fundraising events, donor communications, and administrative support for development activities.
- Help maintain and grow strong relationships with service providers, nonprofit partners, churches, businesses, and community supporters.
- Support a culture of respect, dignity, love, accountability, and collaboration among residents, staff, volunteers, and service providers.
- Assist with Shopify-based online farm sales and related administrative needs.
- Provide administrative support to the CEO and COO, including scheduling, communications, document preparation, organization, and follow-up.
- Maintain organized office systems, files, spreadsheets, records, and databases.
- Contribute to team meetings and help identify practical ways to improve office processes and resident support.
- Perform other duties as assigned by the CEO, COO, and/or Board.
- Strong attention to detail, organizational skills, and follow-through.
- Excellent computer skills, including Microsoft Office, spreadsheets, database management, and general office technology.
- Experience with Quick Books Online required along with strong financial experience.
- Experience with donor management and volunteer management systems preferred.
- Professional written and verbal communication skills.
- Ability to work well in a fast-paced nonprofit environment with shifting priorities.
- Strong problem-solving skills, sound judgment, flexibility, and initiative.
- Team-oriented approach with the ability to collaborate respectfully with staff, residents, volunteers, service providers, donors, and board members.
