The University of Alabama System (UA System) invites applications for an experienced and highly professional Executive Assistant to support the Office of Counsel. This part-time, exempt position is based on-site in Tuscaloosa and reports directly to the General Counsel. The Executive Assistant provides confidential, executive-level administrative support to the General Counsel, System Counsel, and Director of Legal Operations
, playing a key role in the daily operations and strategic effectiveness of the Office of Counsel.
- Provide high-level, confidential administrative support, including:
- Managing department phone lines and welcoming visitors
- Coordinating complex calendars and meetings
- Arranging travel and processing reimbursements
- Ordering supplies and managing invoices
- Reconciling P-Card transactions
- Handling mail and maintaining organized records and documents
- Serve as a professional point of contact for senior UA System leadership, including Trustees, the Chancellor, campus administrators, and internal and external stakeholders.
- Draft, edit, format, and prepare correspondence, presentations, and other written materials.
- Plan and coordinate special events and departmental activities.
- Support department-wide recruitment efforts by posting positions, managing applications, and communicating with applicants and hiring managers.
- High school diploma or equivalent.
- At least three (3) years of progressively responsible administrative support experience.
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Demonstrated record of reliable job attendance.
- Bachelor's degree.
- Two (2) years of experience supporting or collaborating with senior-level executive administrators.
